Job Summary

Performs basic research, preliminary analysis, coordination and transactional support related to department programs. Provides administrative and/or office support for department chair, occupational program directors, residential faculty and adjunct faculty. Provides advanced program and project support for department certificates and degrees.

Essential Functions
  • 20% - Coordinates department schedule including all book adoptions and course fees with department chair, program directors, and scheduling. Submits and tracks all CMS'. Prepares enrollment reports and coordinates scheduling calendar for department.
  • 20% - Provides basic program information to students, faculty, staff and the public; provides troubleshooting support to resolve issues. Advises students with class selection for their programs to ensure they are enrolled in the correct courses for successful program completion. Empowered by department chair and program directors to complete course substitution requests for students when necessary.
  • 20% - Serves as a program liaison providing process and procedural coordination and support. Primary point of contact for department chair and the department program directors for internal and external stakeholders; respond to inquiries and explain rules, regulations, policies and procedures. Empowered to make quality decisions on many critical inquiries.
  • 15% - Maintains department-wide calendar for all faculty and adjuncts with regards to class times and days and is in direct contact with all faculty regarding college and district academic calendar due dates and deadlines. Maintains department chair calendar. Coordinates and maintains Business Building classroom usage.
  • 10% - Creates original correspondence, reports, presentations, documents, and program materials.
  • 10% - Coordinates and schedules adjunct faculty evaluations, dual enrollment evaluations and PAR faculty evaluations for department. Maintains schedule to meet compliance standards as set by the RFA and the MCCCD policy for the PAR process.
  • 5% - Performs other duties as assigned.


Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one year of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Proficient in Microsoft Office Suite experience with programs such as Word, Excel, PowerPoint, and Access with the ability to create, edit, and maintain documents, spreadsheets, and presentations effectively.

B. Proven ability to provide basic coordination of projects from inception to successful completion, ensuring delivery within scope, budget, and timeline constraints.

C. Experienced in utilizing a variety of research tools to synthesize information to support decision-making and/or strategic planning.

D. Excellent written communication skills as demonstrated on the cover letter and resume.

E. Experience in coordinating schedules, appointments, and/or events across multiple stakeholders.

F. Proficient in utilizing Google Suite tools, such as Docs, Sheets, Slides, Calendar, and Drive. with the ability to create, edit, and maintain documents, spreadsheets, and presentations utilizing shared resources.

G. Experience working with Learning Management System (such as Blackboard, Canvas, D2L).

Special Working Conditions
  • Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirements
  • Travel to campus during interview/selection process will be at candidate's own expense
  • Will be required to travel or be assigned to all MCCCD locations
  • May require numerous evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to #25 lbs
