MicroHealth, LLC is seeking an experienced Executive Assistant to support our government client on-site in Bethesda, MD. This position plays a critical role in facilitating day-to-day operations, ensuring efficient communication, and managing high-level administrative tasks that support the client mission and leadership
**This is an on-site Position reporting to Silver Spring, MD
**Must be eligible to obtain Public Trust Clearance
Work Schedule: Monday - Friday, 8 hours per day between 7:00 AM - 5:00 PM. Some flexibility may be required for meetings or project deadlines
Key Responsibilities:
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the National Institutes of Health
- Sustain a daily calendar of meetings and events
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
- Arrange travel and accommodations for the Office of the Chief Operating Officer. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
- Excellent communication and time management skills; proven ability to meet deadlines
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives
- Draft and prepare correspondence for internal announcements, meetings, and organizations for the COO
- Manage the Chief Operating Officer's contacts
- Assist in preparing and managing presentations and decks
- Be responsive to emails/texts/phone calls
- Welcome the Chief Operating Officer's guests by greeting them, in person or on the phone; answering or directing inquiries
- Use discretion, confidentiality, and good judgment to handle confidential matters
- Conserve the Chief Operating Officer's time by reading, researching, collecting and analyzing information as needed, in advance
- Complete ad hoc projects as assigned
- Organize complex calendars and schedules; resolving any scheduling issues
Required Qualifications:
- Bachelor's degree
- Minimum 5+ years of experience supporting senior-level executives, preferably in a federal or healthcare environment
- Proven track record of supporting senior leadership, including high-ranking military and government officials
- Proven track record of handling confidential information with discretion
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent communication, organizational, and time management skills
- Ability to adapt in a fast-paced, high-demand environment
- Ability to obtain and maintain Public Trust clearance
Preferred Qualifications:
- Prior experience supporting senior military or government leadership
- Demonstrated business acumen and ability to prioritize and make sound decisions
- Strong interpersonal skills with a professional demeanor
- High sense of urgency and proactive problem-solving abilities
