Facilities Management Job Description

Essential Functions

Custodial Operations 35%

  • Coordinate with the Associate Director Facilities, Operations to manage custodial operations within the department.
  • Research and recommend appropriate furnishings, supplies and equipment throughout all areas.
  • Act as contact for vendors and suppliers. Work closely with manager of evening operations and manager of housekeeping operations to identify specific department requests and needs. Assist with identifying, prioritizing and provide critical information for capital projects.
  • Work with the supervisor of the grounds department regarding the readiness of the campus during inclement weather conditions including the scheduling of custodial staff support.

Custodial Supervision 35%

  • Supervise, train, motivate custodial staff to perform jobs effectively and safely.
  • Conduct frequent meetings with coordinating custodians and custodial staff to discuss plans and review policies and procedures, promoting a strong team approach and thorough understanding of departmental standards and work rules.
  • Regularly inspect work areas in academic and residential locations and follow up on service related issues.
  • Document building inspections and work with staff to address concerns and establish performance goals.
  • Evaluate and document custodial performance and work with Manager on progressive discipline if warranted. Interview job applicants and recommend new hires.
  • Encourage problem solving and create appropriate independent customer service skills within work group.

Administration 20%

  • Review and approve custodial payroll.
  • Maintain master spreadsheet recording all current supplies, chemicals and equipment. Oversee work order process, weekly staff reports, distribute and track overtime for custodial coverage, building checks, event support and additional projects when assigned.
  • Investigate, document, and prepare billing for all damages in academic buildings.
  • Maintain comprehensive knowledge of current union contract(s) and comply with all contract language.
  • Participate in and contribute to department and management meetings.

Training 10%

  • Contribute to the design and implementation of departmental training programs.
  • Schedule and conduct training sessions to ensure a high level of safety and cleanliness standards are upheld across divisions.
  • Attend educational opportunities aimed at enhancing professional skills.

Minimum Qualifications

1 to 5 years of relevant experience

Skills

Excellent verbal and written communication ability and customer service skills. Demonstrated ability to work with students, student organizations, faculty, and staff. Ability to organize and prioritize work, takes initiative, resolve problems, and manage teams. Must work well independently and manage multiple tasks simultaneously. Must be proficient in PC systems and software. Ability to work a flexible schedule, which includes evenings and weekends.
