About the opportunity

SWCA Environmental Consultants is expanding our team and looking for a Logistics Coordinator to support the Chokecherry/Sierra Madre Wind Farm (CCSM) and Transwest Express transmission line (TWE) projects located in Rawlins, Wyoming. The ideal candidate is a proactive, organized problem solver with strong communication skills, dedicated to supporting a diverse team of technical specialists for smooth and efficient operations. This position requires the ability to work both independently, as well as collaboratively with all members of the team. The individual in this position will have high attention to detail, be able to prioritize, multi-task and possess strong time management skills. The ideal candidate will clearly communicate and provide support for employees while also being able to negotiate assertively with our vendors.

This is a half-time, hourly position estimated at 20 hours/week (with some variability to be discussed and approved as needed). This role will be based out of the Sheridan, Wyoming office as a remote employee and will involve working with our program Director, project managers and field staff. We strongly prefer that the individual selected live within 2 hours of Rawlins, WY.

What you will accomplish

This person will be responsible for providing a suite of logistics and administrative support activities including travel and field work logistics coordination, field vehicle and fleet management, field house management and tenant support, field work support and coordination, inventorying and purchasing field supplies, field technology asset management (i.e., field tablets, GPS equipment, and SPOT devices), tracking expenditures and reconciling credit card statements, document production and mailing support, organizing project records and files, coordination of project logistics with Project Managers and Directors, and other miscellaneous tasks as necessary.

This person will support the SWCA Safety Team to manage health and safety compliance tasks, including the efficient deployment and safe return of our field staff across the Anschutz Program projects. Duties will include organizing field equipment, management of field staff safety certifications and coordination of safety-related trainings, management of employee and office safety supply inventory, organizing safety records and files, and other safety-related tasks as necessary.

Logistics Coordination:

  • Manage program and project logistics for the CCSM and TWE staff, including coordinating with project/task managers regarding project needs; assisting with preparation of and updates to project schedules; coordinating and scheduling staff for fieldwork; arranging travel, vehicles, equipment, and supplies for staff; collecting safety forms and expense receipts, and assisting staff with expense reporting.
  • Develop strong working relationships with leads and directors for planning, cultural resources, and natural resources and learn team/individual skillsets and services provided to more efficiently schedule staff.
  • Manage health and safety compliance tasks, scheduling training courses, and monthly reporting.
  • Manage CCSM and TWE program inventory, maintenance, organization, and billing of field data and safety equipment, including technology asset management (e.g., field tablets and GPS equipment).
  • Manage and organize safety gear, securing travel, outgoing and incoming forms, and data, tracking expenditures and reconciling billing.
  • Procuring Certificates of Insurance to meet contract requirements as needed.
  • Manage a fleet of company-owned and rental vehicles and coordinating vehicle maintenance and repairs as needed.

Administrative Responsibilities:

  • Oversee administrative tasks such as office supply orders, mail/FedEx, picking up groceries/errands, document production, and other office-related tasks.
  • Coordinate both onsite and offsite meetings, conferences, and community volunteer events.
  • Onboard new employees and offer on-site orientation.
  • Collaborate with corporate departments as directed.
  • Coordinate monthly office expense reporting, track office expenditures, and reconcile office credit card statements.

Experience and qualifications for success

Required Qualifications

  • Five (5) years previous experience in a similar role
  • Must have a current and valid drivers license, with the ability to drive multiple types of vehicles, trucks, and 4x4's.
  • Demonstrated proficiency with MS Office applications including Word, Excel, PowerPoint, and Outlook.
  • Experience with technology asset inventory and management; specific to field data collection tablets and GPS devices.
  • Ability to assertively negotiate rates with hotels and manage relationships with car rental agencies.
  • Must be able to run errands with minimal notice during business hours.
  • Experience with scheduling and meeting coordination

Preferred Qualifications

  • Bachelor's or associate degree or college coursework in business, administration, office technology, or a related business field
  • Experience working for an environmental consulting, engineering, or construction firm.
  • Experience with other software applications such as Adobe Acrobat.
  • Experience with Deltek Vision or other CRM software; experience with SharePoint.
  • Budget tracking, reporting, or equivalent experience.

A Logistics Coordinator in this Wyoming-based position can expect a salary rate of $28.36/hour to $34.78/hour. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law.
