Job Description Summary

The Assistant Director of Academic Affairs plays a pivotal role in supporting the Dean's Office by administering key academic functions. This role oversees faculty development, fellowship awards, and provides vital support for tenure and promotion. Additionally, the position supports summer session initiatives through strategic marketing, enrollment analysis, and interdepartmental collaboration in coordination with the Associate Director of Academic Affairs. The Assistant Director ensures the efficient administration of faculty and staff evaluations, demanding exceptional organizational, analytical, and communication skills, alongside a commitment to confidentiality.

Job Description

Essential Functions:

  • Manage all pre-award processes for faculty development and faculty fellowship awards, including database management and accuracy assurance.

  • Collaborate with the Associate Dean of Faculty to continuously evaluate, enhance, and streamline the faculty development ensuring that they align with strategic College goals and meet faculty needs.

  • Partners with University Advancement to obtain donor stewardship reports from academic departments and programs.

  • Manage the collection of tenure and promotion dossiers ensuring accuracy, resolving discrepancies, and maintaining secure digital records.

  • Assists with analysis of faculty salary data, including comparisons based on rank, discipline, experience, and performance.

  • Perform research and analysis on key factors influencing summer session success, including faculty salaries, tuition, classroom management, and course scheduling.

  • Support summer session marketing initiatives, generate enrollment reports, and serve as a key liaison with the Registrar's office, athletics, and academic departments to optimize course scheduling, resource allocation, and ensure efficient and effective summer programming

  • Direct the accurate and organized collection of faculty evaluation data encompassing 525+ faculty across 45 departments and programs and maintains a detailed tracking system used to record final merit assessment scores.

  • Manage the College staff evaluation process for more than 132 staff, collaborating with Human Resources to implement the rollout, and driving continuous improvement by reviewing and refining internal procedures.

  • Organize key College events, including faculty orientation, development workshops, and tenure and promotion to facilitate campus integration and the promotion of scholarly achievement.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree plus three to four years of related experience, or an equivalent combination of education and experience.

  • Proficiency with technology and computers, including demonstrated ability to use Microsoft Word, Excel, and Power Point.

  • Ability to learn new programs relevant to updating and managing data files and databases.

  • Advanced data management and analysis skills, including the ability to mine data to generate analytical reports.

  • Ability to handle sensitive information in a confidential manner.

  • Excellent written and verbal communication skills.

  • Strong logical and analytical problem-solving skills; strong critical thinking skills with attention to detail.

  • Demonstrated ability to be a self-starter who can work with minimal supervision.

  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.

  • Ability to work independently; evidence of good judgment

  • Ability to analyze and interpret policy and procedural questions without the benefit of precedent; makes recommendations to higher management in a coherent manner with supporting arguments.

  • Ability to plan, organize, coordinate, manage, and supervise multiple tasks and functions simultaneously.

Preferred Education, Knowledge, Skills, Abilities:

  • Experience with Workday modules.

  • Experience in higher education.

Physical Requirements:
