Position Summary
Reporting to the Senior Director of Advancement Services, the Gift Processor position is responsible for maintaining data integrity and security, communicating information with key internal and external stakeholders, and assisting with the financial accounting of the organization. This individual is also responsible for maintaining proper internal controls as it relates to the custody of financial assets. This position requires an individual who is highly detail oriented who can manage and maintain data structures within highly detailed policies and procedures.
Key Responsibilities
Data Entry, Evaluation, and Management
* Enters gifts and pledges received into CRM database after distinguishing tax deductible and other gifts from revenue.
* Enters and maintains new constituent information and assists with the reconciliation of CRM records.
* Evaluates gifts to determine appropriate campaigns, funds, appeals, etc. for each gift, and makes informed decisions regarding the placement of gifts as needed.
* Performs financial and related adjustments on transactions.
* Adheres to checks and balances.
* Conducts searches of databases to answer inquiries and for verification of alumni and donor information.
* Maintain clear and accurate documents and records for reference purposes.
* Maintains proficiency in query and reports; as well as using knowledge of the system to research complex questions.
* Assists with record management activities including deduplication and data enrichment.
* Maintain confidentiality of physical and electronic records, including data security compliance donor payment information.
* Assist with regular reconciliation of CRM records.
Donor research and communication
* Research donors to verify contact and gift information.
* Contact donors to confirm gift amount and gift intentions where necessary.
* Prepare gift receipts, acknowledgements, and annual giving statements to be shared with donors.
* Prepares memorial/honor cards.
Project management
* Develop and maintain processes and procedures to ensure reliable data standards.
* Manage recurring giving plans in merchant service, payroll platforms and CRM.
* Plan and coordinate fundraising appeal/campaign gift accounting process for university initiatives not limited to reunions, affinity groups, athletics/sports, band, choir, academic departments, student affairs, and capital projects.
* Works with Foundation accounting and the Development staff to ensure documentation is received on all gifts.
* Collaborates with various university departments to develop best practices for receiving and processing gifts.
* Support the facilitation of planned giving agreements and payments, including giving society acknowledgements and communication
Qualifications & Requirements
Education & Experience
* Bachelor's degree preferred.
* Minimum of three (3) years of experience in non-profit and university gift processing.
Skills & Competencies
* Strong knowledge of gift processing best practices.
* Ability to think creatively and problem-solve individually and with a team.
* Demonstrated ability to develop and implement comprehensive fundraising strategies.
* Exceptional interpersonal and communication skills, with the ability to build relationships with corporate executives, foundation leaders, faculty, and university administrators.
* Highly organized with the ability to manage multiple projects, deadlines, and priorities.
* Proficiency in CRM systems (e.g., Raiser's Edge, Salesforce, or similar) and Microsoft Office Suite.
* Familiarity with online payment processing and gift acceptance platforms (e.g. Acceptiva, GiveSmart, Benevity, YourCause, etc.)
Preferred Qualifications
* Experience working in a university setting or nonprofit organization.
* Knowledge of North Carolina's corporate and philanthropic landscape.
Work Environment & Expectations
* This is a full-time on-campus position based in Winston-Salem, NC.
* Occasional evening and weekend work required for donor meetings, events, and university engagements.
* Minimal travel required for university events and engagement where gifts may be accepted.
