The Facilities Operations Lead is responsible for the day-to-day delivery of facility services for a dedicated client account, ensuring seamless coordination and execution of maintenance programs, vendor management, process implementation, and technology integration. This role is responsible for driving operational excellence across all aspects of facilities management-including project coordination, vendor oversight, space planning, and financial administration-while maintaining a consistent and professional client experience.

This position is based in Alpharetta, Georgia and reports directly to the account Senior Facilities Manager.

Key Responsibilities

FACILITIES & MAINTENANCE OPERATIONS

Routine And Preventative Maintenance
* Coordinate daily walkthroughs to monitor facility conditions, cleanliness, and safety measures.
* Oversee and monitor adherence to scheduling and completion of all required facility inspections and preventative maintenance tasks.
* Track and manage the resolution of client maintenance requests, ensuring compliance with service level expectations (SLEs).
* Maintain complete records of all maintenance activities, repairs, and replacements.
Vendor Coordination
* Manage vendor relationships related to facility operations (e.g., janitorial services, HVAC/electrical contractors, coffee/supply vendors).
* Collaborate with vendor partners to dispatch service requests, ensuring high-quality service delivery and adherence to contractual agreements.
* Identify opportunities for vendor consolidation and cost-saving measures within the maintenance program
Financial Coordination
* Coordinate bi-weekly funding requests and ensure timely invoice processing for facility-related expenses.
* Support annual budgeting by tracking expenditures and contributing to forecast planning for facilities operations and projects.

SECURITY, SAFETY & EMERGENCY PREPAREDNESS

Access Control & Security
* Administer employee, visitor, and contractor badge systems and oversee badge access points.
* Manage key control systems and security camera operations.
* Support upgrades to building security infrastructure, including secure door installations.

Emergency Preparedness
* Manage emergency alerts and communication systems (email and text).
* Ensure fire suppression systems and life safety equipment are maintained and compliant.

WORKPLACE SERVICES & EXPERIENCE

Space Planning & Move Coordination
* Lead or coordinate facility improvement initiatives such as workstation upgrades, common area cleanups, and infrastructure relocations.
* Maintain and update HQ floorplans, Office Space data, and Workplace strategies.
* Coordinate employee moves, including logistics, materials, and janitorial support.
* Keep extension and location records current in SharePoint or other internal platforms.
Conference & Event Support
* Schedule and coordinate meetings and events in designated rooms.
* Ensure availability and setup of A/V equipment, easels, catering tables, and related supplies.
* Oversee special setups for shared-use areas like wellness and mothers' rooms.
Onsite Amenities Oversight
* Manage kitchen and common area supplies (coffee, tea, etc.).
* Oversee access to shared employee amenities including wellness rooms, bike storage, and EV charging stations.
Reception & Administrative Support
* Supervise daily onsite reception services, including visitor check-ins, phone coverage, and after-hours communications.
* Monitor and support the issuance of temporary badges for guests and contractors.

Qualifications and Requirements
* Bachelor's degree in Facilities Management, Business Administration, or a related field (preferred).
* 3+ years of experience in preventive maintenance coordination or a similar role, preferably in the food and beverage industry
* Strong knowledge of commercial food and beverage equipment
* Experience managing maintenance schedules and working with contractors and vendors
* Excellent problem-solving, organizational, and communication skills
* Ability to handle multiple projects and deadlines in a fast-paced environment
* Proficiency in maintenance tracking software and Microsoft Office Suite
* Willingness to travel within an assigned region as needed
