Job Summary

Provide analytical and executive support to the Director of the NIH T32 training program. Coordinate and oversee day-to-day administrative and office operations to ensure processes and procedures meet department expectations. Provide direct analytical support for the NIH T32 training grant. Update, develop, and maintain various webpages associated with the T32 grant website. Maintain comprehensive databank of initiatives, assignments and delegated actions. Coordinate the development of marketing materials. Provide administrative lead and support in the areas of diversity outreach. Serve as primary point of contact. Plan and coordinate any travel associated with events, including ticket arrangements, any audio-visual needs; lodging arrangements; shuttle arrangements; dining arrangements. Manage catering, entertainment, decorations, rental items, custodial, and parking. Process entertainment and travel reimbursements.

THIS POSITION WILL END ONE YEAR FROM THE DATE OF HIRE, WITH THE POSSIBILITY OF EXTENSION DEPENDING ON FUNDING.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and/or equivalent experience/training.
  • Experience analyzing data, writing reports, and creating visuals.
  • Experience managing office operations and projects in a fast-paced environment with competing demands.
  • Experience managing dynamic electronic calendars, and scheduling and coordinating meetings.
  • Experience analyzing and extracting information, determining level and scope of impact, evaluating risks/consequences, developing creative solutions; and understanding the factors associated with decision-making in an academic environment.
  • Knowledge and experience using Microsoft office suite, web and calendaring software, and databases.
  • Writing, editing, and proofreading skills to produce written materials that reflect the standards and professionalism of an executive office.
  • Organizational and time management skills to establish goals, set priorities and manage deadlines; to multi-task and adjust priorities; and adapt to many environments, directions and duties as the executive's needs dictate.

Preferred Qualifications

  • Experience managing student training grants in a department setting.
  • Professional experience and political acumen to handle sensitive or difficult situations.
  • Knowledge of federal and campus regulations and guidelines.
  • Knowledge and skill to interpret and apply UC policies and procedures.
  • Familiarity with AggieTravel.

Department Overview

The Chemistry Department is a large and complex academic and research department located in the College of Letters and Science. The department has state and extramural funds with expenditures of approximately $28M annually including $8M in organized research. There are 28 staff members, 41 senate faculty, 3 continuing lecturers, many Federation appointees, Emeritus Faculty, Postdocs, Pre-Six Lecturers, and 250 graduate students and 750 undergraduate majors.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
