POSITION SUMMARY:

The Program Coordinator is responsible for coordinating operational and administrative activities of Project RESPECT, a specialized program dedicated to providing comprehensive perinatal care for patients with substance use disorders. Reporting to the Clinical Program Manager, the Program Coordinator ensures compliance with all protocols, regulations, and grant contract requirements while supporting the efficient functioning of the clinic.

The Program Coordinator will leverage data to inform operational decision-making, optimize scheduling practices, and enhance administrative support for clinical and program staff. The position plays a critical role in maintaining program integrity, ensuring regulatory adherence, and facilitating seamless coordination among interdisciplinary team members.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Program Support:


  • Ensure compliance with program policies, government regulations, and grant requirements while maintaining alignment with the departmental goals

  • Maintains a data management system ensuring timely and accurate data collection. Compiles quantitative and qualitative data daily, weekly, monthly and uses data to determine status of program activities.

  • Writes the quarterly progress reports and annual progress reports for submission to all external funding agencies/sponsor

  • Assist in program evaluation, tracking quality metrics, and making adjustments as needed to enhance service effectiveness.

  • Collaborate with healthcare providers and community partners to ensure integrated and comprehensive patient care.

  • Monitor and ensure quality improvement initiatives, including tracking patient and staff satisfaction and reviewing clinical event reports.

  • Assist with schedule utilization


Project Management:


  • Use data analysis to improve operational workflows, scheduling practices, and patient care coordination.

  • Assist with key program initiatives, ensuring timely execution of deliverables.

  • Act as a liaison with internal and external stakeholders to maintain program integrity and regulatory adherence.

  • Maintain accurate data management systems, compile reports, and analyze trends to support strategic decision-making.


Administrative Support:


  • Support grant applications, budget planning, financial tracking, and compliance reporting.

  • Provide administrative support, including personnel tracking, meeting coordination, and documentation management.

  • Assist in the facilitation of group sessions, patient education, and outreach activities.

  • Perform office related duties such as maintaining up to date policy manuals, handling faxes, scanning, and filing.

  • Perform other duties as needed

JOB REQUIREMENTS

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor's Degree with experience in healthcare, perinatal health, and addiction care.

PREFERRED EDUCATION AND EXPERIENCE:

  • MPH or MBA preferred

KNOWLEDGE, SKILLS & ABILITIES:


  • Knowledge of research methods and research principles is required. Knowledge of program evaluation is helpful.

  • Ability to be self-directed, prioritize essential tasks and balance numerous responsibilities.

  • Must have excellent interpersonal skills, including and ability to work with individuals from a variety of disciplines, and on a variety of levels.

  • Knowledge of healthcare regulatory compliance and grant management.

  • Excellent communication, problem-solving, and stakeholder engagement abilities.

  • Ability to manage multiple priorities and work collaboratively in a fast-paced clinical environment.

  • Proficient with standard Microsoft programs (i.e. MS Word, Excel, PowerPoint, Outlook) and web browsers.
