Summary
St. Louis College of Pharmacy at University of Health Sciences and Pharmacy is currently seeking an Experiential Education Specialist to manage the daily operations of the Office of Experiential Education (OEE) under the direction of the Director. This position plays a critical role in supporting both introductory and advanced pharmacy practice experiences (IPPEs and APPEs) within the Doctor of Pharmacy program, ensuring compliance with college policies and site-specific requirements, as well as supporting international experiential initiatives by coordinating logistics, requirements, and communication with students and international partners. As a part of this position, you will serve as a primary liaison among students, preceptors, and experiential sites-facilitating onboarding, and ongoing communication. In addition, you will support courses, including academic technology.

As the Experiential Education Specialist, you will be charged with high level administrative responsibilities and making decisions based on administrative policies. In addition, you will be expected to perform the required duties with general administrative supervision or direction while exercising strong organizational skills, independent judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment. Excellent communication skills are needed to maintain regular, professional communication with students, preceptors, and faculty regarding necessary actions, deadlines, and consequences for non-compliance.

You will have the opportunity to:
  • Manage Requirements: Oversee student, preceptor and site requirements for experiential rotations. Monitor and ensure appropriateness and compliance with criteria, ensuring timely communication and action. Maintain accurate records using systems in place. Generate reports and analyze data related to compliance and performance.
  • Ensure Compliance: Understand and ensure experiential education outcomes align with program and accreditation standards.
  • Provide preceptor and student development as needed.
  • Manage preceptor onboarding and on-going profile edits and database management in the experiential education learning management system.
  • Work with stakeholders to manage interprofessional experiences.
  • Update manuals/syllabi/orientation materials.
  • Manage course-related logistics (e.g. - scheduling, copying, etc.).
  • Assist with the development and maintenance of experiential education websites and online resources.
  • Coordinate recruitment, application, interview, scholarship, orientations, pre- and post-departure processes for international APPEs, including requirements.
  • Develop, promote, and communicate international opportunities.
  • Support students before, during, and after international APPEs.
  • Maintain and evaluate relationships with international sites and preceptors.
  • Data Management: Compile and prepare reports on academic, personnel, and administrative matters, utilizing organized and effective computer graphics.
  • Supervise Student Worker: including hiring, training, scheduling, and performance evaluation.
  • Development Support: Assist OEE Faculty Course Coordinators by providing preceptor and student development materials, conducting site visits, and supporting experiential program activities.
  • Regulatory Awareness: Monitor and address federal and state regulations affecting experiential education, such as FERPA, HIPAA, and NC-SARA.
  • Policy Development: Contribute to the development and refinement of office policies and procedures.
  • Administrative Support: Provide administrative assistance for experiential education development initiatives. Includes event coordination, supply orders, meeting coordination, document preparation, filing, and printing as needed.


Qualifications
To succeed in this role, you will need:

Minimum Qualifications
  • High School Diploma or equivalent, and
  • 2 years of related administrative experience from which comparable knowledge and skills can be acquired is required
  • Strong proficiency in Microsoft 365 applications, including Word, Excel, Teams, Outlook, OneDrive, SharePoint, and PowerPoint.
  • Ability to learn and effectively use online databases and web-based applications (e.g., CORE ELMS, Complio, Brightspace, Campus Web).
  • High level of personal initiative, confidentiality, and attention to detail.
  • Professional and efficient oral and written communication skills.
  • Strong interpersonal skills with the ability to collaborate effectively across various levels of the organization.
  • Proficient in time management and organizational skills, capable of managing cyclical projects and meeting deadlines.
  • Independent decision-making and problem-solving abilities.

Preferred Qualifications
  • Bachelor's Degree
  • 2-3 years of administrative experience in an academic or health professions setting.
  • Experience or knowledge of international travel.
