Project Services, part of UCI Facilities Management within the Division of Finance and Administration, supports 15 project managers and requires close working relationships with the other partners within project services such as the contract administration team, the energy management team and out in-house trades group. Incumbent will oversee a portfolio of approximately 300 active campus renovation projects. We provide financial and administrative expertise in project accounting, budgeting, procurement, and reporting to ensure successful project delivery and long-term campus improvement. Your Role on the Team Under minimal supervision, incumbent will have primary responsibility for performing a full range of fiscal activities in support of Facilities renovation projects. Works on financial services problems of moderate scope where analysis of situations or data requires a review of a variety of factors. The incumbent will provide support to Project Services in managing a portfolio of approximately 300 active campus renovation projects, while assisting 15 facilities project managers with project coordination, tracking, and execution. Responsible for overseeing the financial structure of projects, setting up projects in our project management system (IBM), entering work requests from project managers, processing EH&S monthly billing, recharges to projects, maintaining monthly pipeline-project management fees report, processing various financial transactions in KFS, responding to customer emails, reviewing monthly project renovation reports, processing project invoices, onboarding vendors with UCI, reimbursements, entering liens in KFS liens for all construction contracts, consultant agreements, work authorizations, and amendments. Entering overtime billing in IBM, entering purchase requisitions, processing general error corrections and other related transactions for each project. Communication with campus customers, vendors, project managers, contract administration, program directors and Budget Office in order to attain information necessary to successfully carry our responsibilities of the position.
