The Administrative Coordinator is responsible for providing telephone and administrative support for the department. This employee takes calls from branch representatives regarding various operational questions and issues and assures that they receive the correct answer/solution. The administrative tasks include preparing monthly branch and management reports, handling updates to branch standardization files, and other branch distributions that are managed by the Branch Project Support Group (BPSG).

Qualifications:

* College degree or administrative and/or banking experience required.

* Strong organizational skills and attention to detail.

* Good communication skills and telephone etiquette.

* Proficiency in Microsoft Word and Excel (candidate will be tested).

* Must be an involved team player and positive acceptor of on-going change.

* Must possess the ability to work independently and have the ability to prioritize multiple tasks in order to meet daily work deadlines.

Principle Activities and Duties:

* Answers incoming department phone calls in a professional manner and handles questions from branch team members and other internal departments in a prompt and courteous manner, ensuring that the caller receives the answer they need to service their customer.

* Compiles and distributes various monthly branch statistical reports and operational updates.

* Prepares monthly Operational Updates Newsletter and collects all necessary documents for the monthly branch folders for the Service Meetings.

* Compiles and distributes monthly management reporting, as well as any special report requests from management.

* Sends memos to branches on IRS name/Tax ID discrepancies.

* Distributes the quarterly Exemption list.

* Requests monthly branch hold reports.

* Manages revisions and distribution of Branch Standardization maps and files.

* Manages the ordering of supplies from the warehouse and HiTouch for BPSG and manages the supply budget.

* Research and responds to Deluxe check order alerts.

* Monitors and documents the results of the monthly voice guidance testing on the ATMs for both divisions.

* Assists with ordering and setup of files / supplies for a new or acquired branch.

* Reviews various daily reports and completes requests for adjustments from other departments.

* Reviews cash delivery and ATM servicing vendor invoices for accuracy.

* Creates and maintains comprehensive project documentation, plans and reports.

* Help prepare budgets. Analyzes risks and opportunities.

* Coordinates branch communication for branch hardware installs / replacements.

* Completes Loan Error tracking and provides a monthly report of those errors.

* Performs the tracking and scanning of monthly branch reports.

* Handles all mass mailings that are sent from BPSG.

* Manages and distributes incoming mail.

All employees have the responsibility and the accountability to serve as risk managers for their businesses by understanding, reporting, responding to, managing, and monitoring the risk they encounter daily as required by Dollar Bank's risk management program. Compliance with regulatory laws and company procedures is a required component of all position descriptions.
