Clinical Lab - Administration
Job Summary The Client Services and Laboratory Outreach Supervisor is responsible for overseeing the Client Services and Outreach Program for the Clinical Laboratories, as well as administrative and project management tasks.
Oversight of the Client Services department involves supervising the Client Services team, establishing policies and procedures, and ensuring quality assurance in collaboration with Clinical Laboratory leadership. Oversight of the Outreach program includes collaborating with Lab Managers and Directors on key tasks, including conducting market analysis, identifying target markets, budgeting, client retention and development, and overseeing the client services support center. The position also involves managing business activities related to client accounts, from pre-sales and contract negotiation to budget management, invoicing, and account reviews. Additionally, the supervisor will support strategic planning and growth initiatives for Outreach activities, driving expansion and program success.
Further duties include providing essential assistance to the Sr. Medical Director, Administrative Directors, and Lab Managers of Clinical Labs. This entails participating in Financial, Facilities, and Project Management initiatives with high independence and autonomy. The role also involves performing a wide range of administrative tasks under minimal supervision, including managing complex calendars, taking meeting minutes, preparing itineraries and agendas, and coordinating retreats and lab events. Financial management is another key responsibility, involving managing invoice processing for Clinical Labs, reviewing lab invoices against approved POs for payment, submitting recharges to and from lab cost centers, and handling other financial transactions. In terms of facilities management, the supervisor will collaborate with the Lab Manager on facilities and space logistics, coordinate repairs and upgrades with Facilities and outside vendors, and ensure project schedules are met. Additionally, the supervisor will assist research and clinical study coordinators in obtaining the necessary requirements for lab testing of study specimens.
This role demands a proactive approach and the ability to manage competing priorities effectively while ensuring the efficiency and success of the Client Services and Outreach Program. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $84,800 - $127,200 (Annual Rate). Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Proficiency in the Microsoft Office suite (PowerPoint, Excel, etc.)
- Working knowledge of common organization-specific and other computer application programs.
- Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.
- Skills to evaluate issues and identify resolutions.
- Strong service orientation with the ability to effectively manage multiple priorities.
- Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
Preferred Qualifications
- Minimum of 5 years of relevant work experience
- 2 years Clinical Laboratory administration experience
- 2 years of project management experience
- Working knowledge of the organization's processes and procedures, rules and regulations.
