SECRETARY TO THE MAYOR MAYOR'S OFFICE CITY OF WORCESTER The City of Worcester is seeking qualified applicants for the position of Secretary to the Mayor in the Mayor's Office. Under the direction of the Mayor, the position is responsible for planning, directing, organizing and overseeing all functions and activities of the Mayor's Office. This position will supervise office staff in the Mayor's office as well as volunteers and interns. This position will handle sensitive and delicate public relations situations with a high degree of firmness and cordiality. The position will receive instruction from the Mayor on matters of policy. The work schedule encompasses a diverse range of after-hours responsibilities. Bilingual applicants are encouraged to apply. ESSENTIAL ELEMENTS:
- Participate in planning and execution of Mayor's office schedule.
- Interpret departmental rules, regulations, and procedures and also general City rules and regulations which are applicable.
- Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
- Handle sensitive and delicate public relations situations with a high degree of firmness and cordiality.
- Perform a broad range of supervisory responsibilities over office staff.
- The work schedule encompasses a diverse range of after-hours responsibilities.
- Responsible for planning and coordinating all public relations, communications, press conferences, marketing and events on behalf of the Mayor.
- Act as the primary point of contact for the media on behalf of the Mayor.
- Stay up to date on local and statewide current events.
- Attend, coordinate, and participate in staff, department, or other meetings, conferences, committees, and taskforces.
- Represent the Mayor in selected community meetings.
- Research and prepare a wide variety of records, reports, analyses and documents assigned by the Mayor.
- Responsible for managing the Mayor's budget, including budgetary preparation, expenditure and control. Ensure the budget is not exceeded
- Provide support as needed to address constituent issues, including but not limited to providing customer service via phone or in person in a friendly, professional manner, take messages with accuracy, transfer phone calls, and appropriately handle or refer questions and requests for the Mayor.
- Prepare remarks for events, write talking points and speeches.
- Perform other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

- Ability to exercise diplomacy and sensitivity when handling inquiries and coordinating responses.
- Ability to manage multiple tasks at one time.
- Must have a flexible schedule and have the availability to work outside regular working hours
- Ability to adapt to change and to respond well under pressure and at a fast pace.
- Ability to quickly resolve various problems on a daily basis.
- Direct experience with project management and community organizing.
- Demonstrated supervisory skills.
- Proficient in Microsoft Word, Excel, and popular social media outlets.
- Knowledge of local and state government.
- Must be reliable, self-motivated and disciplined.
- Work independently with minimal supervision.
- Knowledgeable of the Worcester Community.
MINIMUM REQUIREMENTS:
- Bachelor's degree in Public Administration/Policy, Management or other related field.
- Three (3) years of office experience working with customers/constituents and in a fast-paced office setting.
- Three (3) years of office experience providing administrative support in a fast-paced office setting; OR,
- An equivalent combination of education, training and five (5) years of experience which provides the required knowledge, skills and abilities to perform the essential functions of the job will be considered in lieu of the above requirements.
- Valid Driver's License with reliable transportation.
PREFERRED QUALIFICATIONS:
- Master's degree in Business Administration, Public Administration/Policy, Management or other related field.
- Five (5) years of experience working in Local or State Government providing support to elected officials.
- Seven (7) years of office experience working with customers/constituents and in a fast-paced office setting.
- Worcester resident.
- Bilingual or multilingual.
SALARY RANGE: $92,028 - $141,618 annually, full-time, exempt, excellent benefits package.
