Matter Data Specialist

Cooley is seeking a Matter Data Specialist to join the Data Managment team within our Innovation Department.

Position summary: As a leading technology law firm, Cooley is determined to become a leader in the digital practice of law. To that end the Matter Data Specialist is expected to recognize that the Cooley IN/Data Management department is a service organization first and foremost and will be evaluated on this requirement equal in importance to the technical or operational responsibilities outlined later in this document.

Under general direction from the Matter Data Attorney Manager, the Matter Data Specialist is responsible for the extraction of deal and litigation data points from applicable materials (including use of generative AI tools in connection with extracting data), review of extracted information for accuracy, review of deal information provided directly by matter team attorneys, data entry into the experience tracking database (including loading data to the database produced using generative AI extraction tools), responding to inquiries and requests from attorneys and marketing teams regarding data and generating routine analytical reports. In addition, the Matter Data Specialist will work in close collaboration with the Practice Innovation and Practice Engineering teams on development of generative AI tools for use in matter data extraction. The Matter Data Specialist will provide subject matter expertise in analyzing generative AI tools, determining use cases and performing testing on tool capabilities. The Matter Data Specialist will also work in close collaboration with other Data Management groups on evaluating, selecting and implementing external data sets for matter data enhancement. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Create and maintain a system for cataloguing and tracking firm matters with both internal Cooley data and external data
  • Leverage existing workflows for tracking of deal matter status from open to close
  • Gather matter data from file management system, secretaries/practice team assistants and attorneys, where necessary
  • Working closely with other Matter Data Specialists and the Matter Data Attorney Manager, contribute to developing procedures for identifying final closing documents and other matter related documents needed for tracking matter terms and information
  • Load identified matter documents into identified extractive generative AI platforms to train such platforms to pull out relevant data points
  • Review and evaluate results from generative AI platforms in testing and provide feedback on capabilities of the platforms
  • Interact with attorneys as needed for clarity on matter details
  • Input litigation and deal data (either as provided by attorneys or extracted using generative AI platforms) into internal experience tracking software
  • Provide regular progress reports to Matter Data Attorney Manager and other stakeholders, as needed
  • Review data on a regular basis for inconsistencies and gaps to be remediated
  • Serve as internal expert on data and database systems, assisting peers with locating, interpreting and analyzing data in support of business needs
  • Monitor support inbox for internal data tracking and respond to questions and requests for data from attorneys, marketing teams and other users
  • Work with the Matter Data Attorney Manager and administrative team for experience tracking software to clean up data and make changes and improvements to the system
  • Work with other Cooley teams in assistance with extracting and exporting data from the internal experience data tracking platform for use in other Cooley platforms and systems, as needed
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite; iManage and other firm applications and ability to analyze and manipulate data using Excel
  • Available to work overtime, as required
  • 2+ years direct-related experience working in a law firm knowledge management, data analysis or accounting position providing data analysis and management for corporate law transactions or litigation matters OR 2+ years experience as a paralegal or attorney working in a law firm on Private Equity, Venture Financing, M&A, Debt Financing, Public Offering or other corporate law transactions or litigation matters, specifically reviewing, and interpreting corporate term sheets and other corporate deal documents or tracking updates on the status of litigation matters

Preferred:

  • Bachelor's or JD Degree
  • Experience using Litera's Foundation platform
  • Experience searching for and using data from Salesforce and Pitchbook platforms
  • Experience with data extraction from legal documentation using generative AI platforms

Cooley LLP offers a competitive compensation and excellent benefits program. EOE.

The expected hourly pay range for this position with a work schedule of 40 hours per week is $46.50 - $68.00 ($96,720.00 - $141,440.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
