Responsibilities & Expectations:

The Sales Support Associate plays a key role in supporting administrative operations and field service estimating activities. This position is responsible for processing customer orders, creating quotes and invoices, maintaining accurate records in P21, and managing customer portals. The role also includes developing detailed job estimates, preparing proposals, and collaborating with internal teams to ensure accurate pricing and project planning. The ideal candidate will be highly organized, detail-oriented, and capable of effectively communicating with customers and internal stakeholders to support efficient service delivery and customer satisfaction.

  • Administrative:
    • Create new and update existing customer and vendor accounts in P21.
    • Create quotes, pick tickets, and invoices for customer orders; communicate with the sales team and management to ensure accuracy.
    • Create and maintain electronic and/or paper files and records for jobs.
    • Process customer orders and advise on availability, correct part numbers, shipping charges, and pricing.
    • Analyze and understand customer requirements; investigate and resolve customer complaints.
    • Assist with organizing and tracking field service site safety training and certifications.
    • Access, update, and maintain customer portals such as Avetta, Ariba, and other customer-specific portals.
    • Support sales team and branch operations with invoicing and accounts receivable activities, such as posting invoices, applying customer payments, and contacting billing departments on past due invoices.
    • Assist with parts ordering, researching cost-effective options, creating and submitting purchase orders, tracking deliverables, and performing receiving functions in P21.
  • Field Service Estimating:
    • Communicate with customers in all aspects, including mediating critical issues.
    • Collaborate with sellers and/or clients to understand power management needs via phone, in person, or online.
    • Develop and present quotations and technical/commercial proposals based on input from sales, engineers, or operations.
    • Review customer purchase orders for accuracy and compliance with quotations.
    • Utilize company bid sheets to determine on-site time requirements and staffing based on equipment lists or single-line diagrams.
    • Work with the sales team to adjust pricing where appropriate.
    • Estimate labor hours and material costs; assess whether replacement is more cost-effective.
    • Price field service jobs on a time-and-materials basis.
    • Review parts requests from mechanics, obtain quotes for non-stock items, and place orders as needed.
    • Collaborate with the repair shop to determine efficient repair pricing.
    • Leverage in-house subject matter experts for assistance when needed.

Qualifications and Competencies:

  • Must be self - motivated and a team player
  • Professional phone and email etiquette
  • Ability to multi-task
  • Good technological proficiency, Office Suite, Inventory & Database Systems
  • Technical background with electrical and/or mechanical products preferred
  • 3 or more years of customer service experience in an industrial environment or equivalent education preferred
  • Excellent interpersonal skills, including the ability to build rapport with current and potential customers
  • Critical attention to detail
  • Excellent communication skills, both oral and written
  • Ability to understand, perform and retain various job-related training
  • Flexible with hours, overtime, and some weekend work
