JOB SUMMARY
The Department of Budget and Resource Planning is seeking an Accounting Clerk II to join their team. This position will perform accounting and bookkeeping related tasks for various divisions supported by the Shared Services team. The role will primary be responsible for processing monthly divisional billings, preparing monthly journal entries, approving procurement card transactions, and assisting in various administrative tasks. This role requires proficiency with Excel and accounts payable/receivables or bookkeeping. Additional experience is as follows:



  • Accounts receivable/payable experience:


    • Preparation and processing of monthly billings for various divisions.
    • Preparation of refunds.
    • Acquiring and processing of invoices.
    • Purchase Order related research.
    • The ability to resolve complex billing issues.
    • Procurement card review and approval.
    • Research and resolve credit card chargeback transactions.


  • Accounting Related Responsibilities/Tasks


    • Preparation of various monthly journals where necessary, including:


      • Re-class/corrections
      • Accruals
      • Allocation of expenses across divisions
      • Recording of daily deposits
      • Manual/journaled expenses
      • Inventory adjustments



  • High-level professionalism and exceptional client service skills.

EXPERIENCE AND EDUCATION
Required



  • Education
    High School Diploma or equivalent.


  • Experience
    3 years related experience.


JOB DUTIES



  • Performs clerical accounting procedures accurately and on time.
  • Verifies and processes accounts payable and receivable and other financial transactions such as bank deposits.
  • Prepares monthly and annual reconciliation of ledger accounts and other accounts as assigned to department.
  • Prepares, produces, balances, and posts financial department data.
  • Posts completed account information to verify accounts are balanced.
  • Resolves discrepancies in departmental data, both written and verbal.
  • May monitor grant budgets for allowable expenditures and resolve all discrepancies.
  • May produce financial reports for management regarding standing on individual accounts in addition to overall departmental financial status.
  • May provide working supervision to Accounting Clerks.
  • May perform duties of supervisor in their absence.
  • Performs other duties as assigned.
