Job Summary

The Coordinator III, Financial Aid & Scholarships provides advanced support for the administration of Florida Gulf Coast University's scholarships programs. This role functions as a team lead, serving as a point of escalation to help resolve complex issues and maintain compliance. Works closely with the Assistant Director to package and award all university scholarships, including the coordination and oversight of athletic scholarships and compliance related to student financial aid. Reads and interprets federal, state and university regulations regarding financial aid awards and disbursements. Independently evaluates students' financial aid applications and exercises professional judgment in making awarding decisions.

Job Description

Typical duties include but are not limited to:

  • Supports the coordination and oversight of all FGCU scholarship programs, including foundation scholarships, admissions merit scholarships, departmental scholarships, athletic scholarships, and state programs.
  • Assists with the administration of internal and external scholarships and awards including but not limited to, determining aid, processing awards, disbursement of funds, document submission, and scholarship reconciliation.
  • Responsible for the coordination and administration of all federal, state, and institutional aid for student-athletes at FGCU.
  • Responsible for accurate manual awarding of athletic scholarships, updating financial aid offers, and processing adjustments when necessary.
  • Maintains a scholarship calendar with deadlines and updates policy and procedure manuals to administer scholarship programs.
  • Responsible for foundation scholarship awarding and monitoring in collaboration with athletics, foundation, and financial aid office.
  • Advises current and prospective students and parents regarding the financial aid and scholarship process, providing information on available programs, procedures, and eligibility, processing program related documents and monitoring compliance to program regulations as they relate to scholarships.
  • Performs eligibility review of athletic scholarships in accordance with current NCAA regulations.
  • Serves as liaison between the financial aid office and the athletic department to develop a collaborative working relationship.
  • Attends annual NCAA Seminars and stays up to date on NCAA regulations that impact financial aid.
  • Collaborates with the Assistant Director of Scholarships to award scholarships in a timely manner. Assists with renewal eligibility of scholarships for returning students.
  • Utilizes and maintains scholarship awarding software to ensure accurate and efficient processing of awards; provides support to the scholarships team by assisting with software troubleshooting, training, and optimizing system use.
  • Responsible for electronic organizing, filing, and storage of financial aid and scholarship documentation for all scholarship recipients, including student-athletes.
  • Facilitates and performs FAFSA and scholarship applications outreach to for all students. Conducts workshops for students and parents to identify internal and external scholarship and aid opportunities. Represents the Office of Financial Aid and Scholarships at recruitment, admissions, and financial aid events.
  • Reviews, monitors and processes weekly financial aid reports such as negative unmet need and over-award reports for all scholarship recipients.
  • Ensures scholarship website, foundation application, aid/scholarship criteria, and student correspondence are updated as necessary.
  • Notifies students, faculty, and staff of scholarship opportunities. Ensures broad promotion of scholarship opportunities throughout campus and greater community.
  • Maintains an accurate scholarship database, frequently updating student information and scholarship details.
  • Generates reports for the review and analysis of student information, scholarship statistics, and financial data.
  • May provide information to students and parents at preview and other special programs for prospective and current students.

Other Duties:

  • Performs other job-related duties as assigned.
  • Assists with student recruitment events, including but not limited to Eagle Expo, Eagle View Orientation, Say Yes to the Nest, FAFSA and scholarship completion events and high school night presentations.
  • Assists front desk staffing during peak time or as needed.

Additional Job Description

Required Qualifications:

  • This position requires either nine years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and five years of full-time experience directly related to the job functions.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Master's degree from an accredited institution in an appropriate area of specialization.
  • Experience with athletic scholarships and compliance.
  • Experience with utilizing and managing scholarship awarding software.
