This position is currently able to work remotely from a home office location for day-to-day operations unless occasional travel for meetings, collaborative activities, or team building activities is specified by leadership. Leave of Absence Lead Coordinator- The Auto Club Group

What you will do:

Lead position and experienced member of the Leave of Absence team, responsible for being the liaison and single escalation POC for leave outsourcing administrator. Play a critical role in ensuring compliance with relevant regulations and internal policies while mitigating risks associated with outsourcing arrangements. Conduct complex, detailed audits to include monitoring the work of the leave outsourcing administrator; reviewing documentation, process timelines, compliance, communication effectiveness to ensure accuracy and adherence to service level agreements. Ensure that vendor, employees and leaders maintain compliance with corporate and regulatory requirements. Attend regular meetings with the leave outsourcing administrator and communicate any changes to process, issues or areas of concern to ER leadership as soon as possible. Identify process changes and communicating to both the leave outsourcing administrator and the other members of the Leave of Absence team. Identify issues with consistency, efficiency and employee experience and escalating to ER leadership. Responsible for utilizing reporting to identify trends and focus on targeted operational improvement and efficiencies. Responsible for all training that needs to be conducted for ACG employees and managers to include the members of Human Resources. Be the first point of contact for all escalations from the leave outsourcing administrator, managers and other stakeholders and responsible for ensuring timely resolution. Assign work and ensuring completion of other Leave of Absence Coordinators.

Key Responsibilities include:

  • Point of escalation for leave administration
  • Maintain policies and administrative documentation
  • Develop and deliver reports to leadership on program performance
  • Ensuring Regulatory Adherence: Responsible for verifying that the outsourcing vendor adheres to all applicable laws, regulations, and industry standards. This proactive approach minimizes the risk of non-compliance fines, legal repercussions, and reputational damage.
  • Policy Enforcement: By conducting regular audits, ensures that the vendor operates in accordance with internal policies and procedures, including those related to data security, privacy, ethical conduct, and business continuity.
  • Contractual Compliance: The position ensures the vendor fulfills all contractual obligations outlined in the outsourcing agreement, including service level agreements (SLAs), performance metrics, and reporting requirements.
  • Reduced Operational and Financial Risk: Identification of Control Weaknesses: Through independent audits, identify weaknesses in the vendor's internal controls that could lead to errors, fraud, or security breaches. This allows for timely remediation and prevents potential losses.

We are looking for candidates who:

Required Qualifications (these are the minimum requirements to qualify):

Education:

  • Bachelor's degree or equivalent in Business Administration, Human Resources Management or related field

Experience:

  • 3-5 years of experience in leave of absence with employees in multiple states and a significant focus on leave of absence and associated processes/regulations (FMLA, ADA, Religious, Military, Parental, Personal & Disability)
  • Working with an outsourced leave of absence model
  • Experience with HRIS systems (e.g., Workday) and advanced skills for data manipulation and reporting (e.g., Excel, SQL, Tableau).
  • Managing multiple priorities and meet deadlines in a fast-paced environment
  • Communicating complex information effectively with all levels of management, employees

Knowledge of:

  • Strong knowledge of the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), California and New York leave and disability/family leave pay, other state and local leave laws, and short-term or long-term disability plans.
  • Strong understanding of federal and state leave laws

Skills:

  • Strong analytical and problem-solving skills with the ability to analyze data, identify trends, and draw meaningful conclusions.
  • Excellent interpersonal communication, interpersonal, and presentation skills to include ability to effectively communicate complex employee needs
  • Strong attention to detail and organizational skills
  • Strong customer service skills
  • Ability to read, interpret, and apply documents such as plan documents, certificates of coverage.
  • Attention to detail is essential; must be able to organize, prioritize, and multi-task.
  • Good organizational, diplomacy, and customer service skills. Must be able to effectively interact and communicate with people of diverse backgrounds, cultures, and personalities.
  • Strong interpersonal skills are a necessity.
  • Strong computer skills required, including word processing, database and spreadsheet experience (i.e., MS Office).
  • Ability to handle a high volume of work.
  • Must be very well organized, accurate, thorough and monitor work for quality.
  • Ability to maintain confidentiality.

Preferred Qualifications:

Education:

  • At least one certification in related HR disciplines, i.e., PHR/SPHR, SHRM-CP/SCP
  • Certification in a Leave of Absence specialty

Experience:

  • Workday
  • 1-2 years of experience working with an outsourced leave of absence model
  • Navigating/supporting remote work employees
  • Experience working with a 3rd party benefits vendor
