Chapman and Cutler LLP is seeking to hire a Part-Time Practice Support Clerical Assistant to join our Charlotte office. The Part-Time Practice Support Clerical Assistant will work with other administrative and legal professionals in a collegial environment, performing a variety of clerical and administrative duties for attorneys and assisting with projects as directed by the Administrative Assistant Supervisor, Chief Support Services Officer, and Office Coordinator. The work schedule for this position is four days a week from 9:30 a.m. - 4:30 p.m. ET. Responsibilities will include, but are not limited to the following:
- Reports to the office in a reliable and punctual manner.
- Ability to work independently and as part of a team to meet the clerical and administrative requirements of the Firm.
- Provides direct administrative/clerical support including, but not limited to, timekeeping, expense reports, scheduling, photocopying and scanning, blacklining, collating, preparation of packages/labels/envelopes for mailing, maintaining kitchen and various supply areas.
- Handles front desk duties including greeting/maintaining good public relations with visitors and clients, answering phones, accepting packages and other deliveries; handles and delivers incoming attorney mail. Processes outgoing packages for shipment through FedEx, UPS and USPS.
- Provides assistance with department- and matter-specific tasks, including facilitating the closing process by creating signature packets, setting up electronic closing rooms, compiling closing documents and closing sets.
- Works one-on-one with attorneys, paraprofessionals, and administrative assistants for projects that require special or specific instruction. Ability to work independently on those tasks as directed.
- Operates standard office equipment. Familiar with standard computer applications such as Microsoft Word, Excel, PowerPoint, and Adobe.
- Displays competency while learning new tasks and asks thoughtful questions to complete assignments.
- Exhibits understanding of how individual tasks affect other long-term projects and the department as a whole.
- Creates and maintains client and general files.
- Observes confidentiality of attorney-client relationship; follows Firm and/or practice group guidelines for protecting client information.
- Exhibits an understanding of, and properly utilizes, the Firm's reference materials, including training materials and internal online information.
- Respects the Firm's policies and procedures.
- Attends scheduled training sessions and utilizes information in daily work production.
- Ability to proofread material for grammatical, typographical, or spelling errors.
- Is well organized, resourceful, motivated, and can adjust to rapidly changing priorities.
- Organizes and prioritize numerous tasks and completes them under time constraints. Is proactive in establishing helpful working relationships with coworkers; shows initiative in seeking additional tasks to maintain steady workload.
- Assists in any other area of the Firm as assigned.
Minimum Qualifications:
- Computer knowledge, Mac OS preferred
- Previous office experience preferred, including the use of Microsoft Office
- Commitment to client service
- Attention to detail and timelines
- Strong written and verbal communication skills required
- Ability to communicate in a friendly, approachable and client service-oriented manner by phone and in person
- Committed to following all Firm security protocols and maintaining information security
