The Sales Coordinator supports the Strategic Account Management team who represent Maritz Global Events to existing and prospective clients. The Sales Coordinator will support the life cycle of a program from sales documentation creation and proper recording processes to communication of program specifications with operational departments, gathering documentation for forecasting, pace reporting, hotel pickup/commission liaison, site visit coordination, lead form completion, final invoice review, and any other general administrative tasks.
Primary Responsibilities 30%- Comprehensive administrative support with the Master Service Agreement (MSA), Scope of Work (SOW) and Authorization to Proceed (ATP), and Change Order process and adherence. Draft documentation and partner with appropriate Operational Departments to reflect accurate pricing and services information received from Strategic Account Directors. Support the revision of this documentation through the negotiation process. Properly record documents upon completion of the process and confirm accuracy of information entered into the Client Relationship Management (CRM) System by Strategic Account Director and Financial Analyst, Event Accounting. 30%-Collaborate with internal departments on program needs. Confirm information as needed by cost forecasting. Collaborate with Operational Departments on revenue forecasting information. Complete and Submit Lead Request Forms. Partner with operational departments and accounting to confirm all information is compiled for final invoice and corresponds with the most up to date SOW/Change Order Services prior to Strategic Account Director review and approval. 20%- Support Administrative Account Needs. Compile information, reporting, and deliverables required for Business Strategy Meetings and Proposals. Assist with the Coordination of Client Site Visits, as needed. Confirm accuracy of account files/computer systems and maintain departmental SOPs of required information on file as well as any other general administrative tasks required to support the Strategic Account Management Department. 20%- Pace Reporting and Final Pickup/Commission Collection. Create Pace Reporting template and enter hotel contract/amendment details, confirm hotel representatives and report on room pacing for small to mid-size programs under 1,000 total room nights. Maintain accurate analysis on program pickup, trends, and minimum achievements on a weekly basis. Act as a liaison to the Commission and Collection team to assist in timely payment of commission and rebates on programs. Assist with communication should escalation be needed to a GSO/NSO/DMO l Qualifications 1. Associate or Bachelor's degree with equivalent work experience desired. 2. Detail-oriented, self-starter, and ability to handle multiple projects simultaneously. 3. 12 - 24 months of previous hotel or sales coordination experience desired. 4. Excellent computer skills, knowledge of Microsoft Office tools, SharePoint, & ability to learn new technology quickly. 5. Strong interpersonal communication & customer service skills.
