Mazak Corporation is looking for an Operations Support Associate which will serve as a critical cross-functional link between departments, supporting execution, alignment, and administrative accuracy across FMF, Assembly, Fabrication, and Quality Control at our Florence, KY location. Accountability: As an Operations Support Associate within the Manufacturing Division, you will serve as a critical cross-functional link between departments, supporting execution, alignment, and administrative accuracy across FMF, Assembly, Fabrication, and Quality Control. Reporting directly to the Director of Manufacturing Operations, you will be responsible for maintaining documentation, facilitating training logistics, coordinating project follow-ups, and backing up the Assembly Shipping Coordinator. Your attention to detail and communication skills will help reinforce structured workflows, eliminate gaps between teams, and increase the efficiency of operational processes. This role is foundational to sustaining a culture of clarity, accountability, and readiness across the shop floor and support teams. Scope and Responsibilities: Essential duties include, but are not limited to the following: * Support the Director of Manufacturing Operations with project tracking, meeting recaps, and task execution * Coordinate training logistics with HR, including scheduling, material prep, sign-in sheets, and documentation archiving * Serve as backup and support for the Assembly Shipping Coordinator, ensuring picture documentation, label accuracy, and timely communication * Assist in updating and maintaining operational documents such as job aids, SOPs, training logs, and schedules * Organize production data and maintain document control across SharePoint, ERP, and internal file systems * Act as a cross-department liaison to support Fabrication, FMF, Assembly, and QC with administrative and process coordination needs * Track action items from meetings and audits, ensuring timely follow-up and completion * Support Quality Control with gauge collections, basic Receiving Inspections, and final shipping photo documentation * Help streamline internal communication by preparing reports, floor updates, and project status summaries * Collaborate with HR, supervisors, and department leads to document training completion and certification tracking * Assist in identifying inefficiencies and recommending improvements to workflows, documentation, and process ownership * Uphold professional communication and organizational standards across all tasks and touchpoints Education/Certification: * Bachelor's degree in Business, Operations, or related field required * Strong organizational and administrative skillset with exposure to training, scheduling, and documentation tasks * Proficient in Microsoft Office applications (Excel, Word, Outlook); experience with SharePoint preferred * Familiarity with communication tools and basic project coordination methods * Willingness to learn ERP systems (such as D365), quality processes, and cross-department support practices Skills: * Administrative Coordination - Skilled in organizing schedules, maintaining documentation, and supporting cross-departmental communication * Training Support - Experienced in preparing training materials, tracking participation, and assisting HR with onboarding logistics * Data Management - Proficient in Microsoft Office (Excel, Word, Outlook) with working knowledge of SharePoint for file organization and reporting * Communication - Clear and professional communicator with the ability to liaise between floor teams, supervisors, and leadership * Project Tracking - Detail-oriented in managing follow-ups, meeting recaps, and status updates across multiple initiatives * Shipping & Documentation Support - Able to assist with label verification, shipping photos, and general Assembly Shipping Coordinator tasks * Process Improvement Awareness - Observant and proactive in identifying workflow gaps, redundancies, and documentation inconsistencies * Quality Control Support - Comfortable assisting with basic gauge collection, Receiving Inspection paperwork, and inspection photo logging * Time Management - Strong ability to manage competing priorities and complete time-sensitive tasks with accuracy * Team-Oriented Mindset - Reliable, adaptable, and committed to supporting leadership and floor teams in a fast-paced manufacturing environment Equal Opportunity Employer/Protected Veterans/Individuals with Disabilities
