About the Job

This position is based out of Minneapolis, MN and is eligible for hybrid work from home and/or on campus work dependent upon individual performance and organizational need, though some regular on-site work will be expected. Because the University of Minnesota is a land-grant institution that serves the state, residing in Minnesota is typically required.

This position provides administrative support to the Center for Primary Care (CPC) and the Department of Family Medicine.
CPC is a new collaborative center in the Department of Family Medicine that works to foster a collaborative and innovative primary care environment throughout Minnesota where providers, researchers, and communities come together to advance knowledge, address healthcare challenges, and improve patient outcomes through evidence-based research and continuous learning.
This position is a key point of administrative contact for the CPC to the medical school, other academic departments, key external stakeholders, health systems, research professionals and outside agencies. The ideal candidate will have an interest and passion for improving healthcare delivery to communities throughout greater Minnesota

Program Administration and Communications (30%):

  • At the direction of center leadership, research various types of information to prepare for meetings, conferences, and events.
  • Review, analyze, develop and recommend changes to CPC processes.
  • Provide staff support to faculty and centerwork groups. This includes scheduling meetings, taking meeting notes, following up on action items, and convening the meetings. It may also include researching and disseminating critical information and sending communication on the Center's behalf.
  • Provide logistical and AV (Zoom) support for departmental and center meetings, seminars, and events. Make room reservations for faculty and ad hoc meetings.
  • Interpret complex instructions to facilitate a smooth and well-coordinated work environment. Anticipate conflicts and present potential solutions.
  • Provide customer service and act as a resource for faculty, staff, and stakeholder needs. Explain policies and refer employees to appropriate staff to obtain assistance with questions.

Rural Training Program Management (30%):

  • In collaboration with the Center Director and other key faculty, support potential rural training sites. Collaborate with rural training sites to identify issues, additional partners, and resources to plan, design, develop, launch and sustain Rural Training Programs.
  • Support the onboarding, retention and engagement of participating programs
  • Conduct research and program review of current and emerging rural health workforce training issues, opportunities and potential to expand rural clinical training statewide.
  • Serve as liaison between fiscal administrative staff and rural program leadership.
  • Lead coordination of quarterly board meetings and student leadership meetings and Rural Program Directors University.
  • Facility annual rural health meeting and other conference planning.

Executive Support (25%):

  • Provide executive level administrative support to the CPC Director, including managing executive calendars, scheduling meetings, and coordinating travel arrangements with attention to detail and proactive planning.
  • Prepare and edit correspondence, documents, presentations, and reports.
  • Serve as a key point of contact, facilitating smooth communication and coordination between center faculty, internal staff, University partners and external stakeholders.
  • Organizes and maintains essential records and files, implementing efficient systems to support executive workflow and long-term organizational needs.

Event Management, Support and Planning (15%):

  • Manage the planning, coordination, promotion and execution of center events such as listening sessions, key stakeholder meetings, faculty meetings, seminars and lectures.
  • Contribute to planning and implementation of special events, such as identifying appropriate venues, selecting vendors and arranging logistics.
  • Coordinate travel and accommodation for visiting and on-campus guest speakers. Work with FMCH and center staff to create schedules for visiting speakers and faculty if necessary.
  • Create promotional materials for events and also coordinate materials for the day of the event.
  • Manage and track event budgets and expenditures in consultation with the Center Director.
Qualifications

All required qualifications must be documented on application materials.

Required Qualifications:

  • BS/BA degree or a combination of education and work experience to equal four years.
  • Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint), Google Suite, and Zoom.

Preferred Qualifications:

  • Demonstrated effective and professional oral and written communications skills, as may be demonstrated by experience with presentations to a range of audiences.
  • Experience working with faculty in a higher education setting.
  • Strong organization skills.
  • Prior University of Minnesota Experience.

The Department of Family Medicine and Community Health at the University of Minnesota was created more than 50 years ago in response to a legislative mandate to train primary care physicians. Since then, we have been leaders in transforming the specialty through education, research, and patient care. We are the academic sponsor of seven family medicine residencies-five in the Twin Cities, two in Greater Minnesota. We are involved in medical student education activities across the Medical School's two campuses: Twin Cities and Duluth. We sponsor five fellowship programs-sports medicine, hospice and palliative medicine, behavioral medicine, clinical informatics, and human sexuality- and offer continuing medical education opportunities. Pay and Benefits

Pay Range: $26.00 to $29.00 per hour, we anticipate most offers will be around the midpoint of this range, depending on education and experience.
