Position Summary Information
Primary Purpose |
The Assistant Program Manager (
APM) reports to the Director of Community Legal Services (
CLS) and is a critical link between McGeorge School of Law's academic mission, the students' experiential learning, and the community's access to legal services. The
APM is responsible for planning and executing in-person and virtual events, has clear communication among partner organizations and participants, acts as a representative of the University on business, and completes administrative activities using independent judgement. The
APM also provides daily operations, student training, operational leadership, legal administrative support, bilingual services, community outreach, and student mentorship within the Community Legal Services clinic programs. Our
legal clinics are available to community members who are facing legal challenges in the areas of Bankruptcy, Elder & Health Law, and Immigration and are unable to afford representation from private attorneys.
The Assistant Program Manager serves as a key liaison between students, faculty, external partners, and community members, contributing to CLS's educational mission and community service objectives, and is involved in community outreach efforts, helping to increase awareness of clinic services and attract new clients. |
Essential Functions |
- Create, build, analyze, update, and follow-through on CLS's programs and related project budgets to ensure timely and accurate forecasted spending against available revenue.
- Manage and ensure timely submission of documentation, financial reports, and necessary communication to meet all agreed upon grant deadlines.
- Accumulate, centralize, analyze, and redistribute improvements to administrative and coordination processes for CLS and related projects.
- Resolve routine problems using independent judgment and with little to no consultation; handle multiple assignments and prioritize in a constantly changing work environment.
- Update, translate, publish, and reinforce process improvement for operational efficiency.
- Manage the routing and draft elements of contracts between CLS, related projects, and outside partners, including but not limited to routing contracts to achieve signature from all parties.
- Supervises Legal Clinic Coordinator, student attorneys, and work study students.
- Responsible for ensuring timely and accurate invoice payment and/or receipt of multiple funding sources (i.e. grants exceeding $1 million plus gifts). Determines proper coding and budget oversight, including reimbursement, issue of client checks and payment for expert witness fee expenses.
- Lead collaborator with Director of CLS to develop and maintain social media, website, newsletters, and outreach presence as well as events to promote the CLS and related projects.
- Supervises Legal Clinic Coordinator, student attorneys, and work study students.
- Collaborates with various departments, including IT, Events, Finance, HR, and Facilities to support clinic needs and initiatives.
- Provides translation and interpretation (English and Spanish) during client meetings, legal presentations/consultations and community presentations. Translates and certifies legal documents, including birth/death/marriage certificates and declarations, supporting equitable access for monolingual Spanish-speaking clients.
- Directs, plans and implements orientation sessions, legal fairs, workshops, and community outreach events. Organizes and executes major events such as the Clinic Boot Camp, Fall and Spring Open Houses, and community legal education workshops.
- Assistance with notary-related tasks to aid the Elder Law and Health Clinic and estate planning documents.
- Assist in special projects as requested.

Minimum Qualifications |
- Bachelor's degree.
- Two (2) years of complex administrative experience.
- Two (2) years of related work experience.
- Bilingual Requirement: Native proficiency in Spanish and English with strong speaking and translation skills.

- Knowledge of case management systems (e.g., Clio) is preferred.
- Knowledge of SmartSimple, Cobblestone.
- Notary Public certification or the ability to obtain certification is preferred.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
- Ability to engage and integrate culturally responsive practices and knowledge in their work.

Hiring Range |
$68,640.00 - $73,408 per year. We consider factors such as, but not limited to, the scope and responsibilities of the position, the candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer |
