Under the general supervision of the Manager of the Admitting and Registration Departments, the Inpatient Coordinator admits patients to their assigned beds, initiates appropriate forms, obtains patient signatures, and performs clerical duties related to patient admissions.

I. Major Responsibilities:

Patient Admission and Registration
1. Greets patients and families professionally and explains the admission process.
2. Prepares admission forms and verifies demographic and insurance information.
3. Admits all patients including newborns and AM surgical admits.
4. Coordinates bed assignments with the Nursing Supervisor and maintains census accuracy.

Documentation and Forms
1. Generates addressograph plates and ID bracelets; stamps and distributes forms.
2. Offers and explains Health Care Proxy information and witnesses signatures.
3. Updates Meditech with scheduled surgical admissions and patient demographics.

Patient Support and Communication
1. Escorts or arranges escort for patients to assigned locations.
2. Instructs patients on where to go for scheduled services.
3. Answers phones professionally, routes calls, and responds to pages.

Administrative Duties
1. Notifies New England Organ Bank of qualifying deaths and logs notifications.
2. Coordinates death certificate completion and release of remains.
3. Processes scheduled admissions and forwards charts and addressograph plates.
4. Maintains patient valuables log and secures items in the safe.
5. Handles insurance pre-certification and authorization as needed.
6. Orders office supplies and informs supervisor of special requests.
7. Covers Insurance Precertification Coordinator duties when needed.

Age-Specific Competency
1. Applies knowledge of growth and development stages to patient care.
2. Demonstrates age-appropriate communication and support.

II. Position Qualifications:
License/Certification/Education

Required:
1. High School Graduate
Preferred:
1. Medical Terminology knowledge

Experience/Skills
Preferred:
1. 1-2 years of related office experience
2. Data entry experience
3. Customer service background

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.

III. Physical Demands and Environmental Conditions:

This position requires frequent sitting, standing, reaching, and performing repetitive movements. It also requires precise motor skills, hearing, and vision. Lifting, carrying, pulling, and pushing weights up to 50 lbs may be required occasionally.
