Executive Assistant

The Executive Assistant at Masimo supports several senior level executives with communications, conducting research, creating reports, handling confidential requests and information, planning and organizing meetings, managing calendars, travel and expenses. This is a highly visible position requiring the ability to build and maintain professional relationships throughout all levels of the company.

Key Responsibilities

* Provide confidential executive support to the c-level executives, ensuring seamless coordination of all daily activities.

* Manage the executives' complex and ever-evolving calendar, including international travel arrangements and high-level meetings.

* Manage complicated schedule including arranging meetings and calls for executives, customers, partners and the like, utilize sound judgment in managing priorities and urgency.

* Prepare correspondence based on a general outline of points and prepare PowerPoint and other presentations as needed.

* Act as the face of the executives, screening emails, calls, and requests while prioritizing urgent matters.

* Attend and minute critical meetings, maintain action item trackers, and follow up with relevant teams to ensure execution.

* Maintain compliance-related documentation, manage budget tracking, and support executives with financial and administrative reporting, including monthly expense reports.

* Work closely and effectively with Executive Leadership and other Executive Assistants to ensure consistent communication regarding upcoming meetings, events, etc.

Skills and Qualifications

* Minimum of 8 years of demonstrated work experience providing support to the C-Suite level

* Minimum of 1 year in a similar executive support role, ideally within a fast-paced, technology-driven, or healthcare environment.

* Proficient in Microsoft Office Suite, particularly PowerPoint, Word, Excel, Outlook, and Teams.

* Strong time management, communication, and interpersonal skills.

* Demonstrated ability to work independently with sound judgment and a proactive attitude.

* High level of integrity, responsibility, and professionalism.

* Must possess a strong level of discretion and unwavering integrity and honesty to manage highly confidential information.

* Strong attention to detail with the ability to manage multiple tasks simultaneously.

* Must be able to travel periodically for off-site meetings; occasional overnight travel is required.

Education:

High school diploma required, College degree preferred

Compensation:

The anticipated range for this position is $45- $55 per hour. Actual placement within the range is dependent on multiple factors, including but not limited to skills, education, and experience.

Physical requirements/Work Environment:

This position primarily works in an office environment. It requires frequent sitting, standing and walking. Daily use of a computer and other computing and digital devices is required. May stand for extended periods when facilitating meetings or walking in the facilities. Some local travel is necessary, so the ability to operate a motor vehicle and maintain a valid Driver's license is required.
