Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

The Payroll & Records Coordinator provides administrative support to staff and ensures that centralized payroll and records management services are provided to County departments and employees, employee records are maintained accurately, and employees are paid accurately and on time.

We Require

  • High school diploma or GED

  • Two years of administrative support experience, which includes heavy customer contact, experience assisting walk-in customers or customers via email or telephone

  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

We Also Value

  • Three or more years of administrative support experience

  • Experience in a Human Resources office or payroll environment

Job Contributions

  • Greets and answers the doorbell for visitors and County employees

  • Responds to customer and County employee inquiries and requests

  • Answers the main Payroll/Employee Records multi-line phone and routes each call to the appropriate party

  • Assists with monitoring the Experian website for verification of employment and refers companies to this website

  • Completes VOE (verification of employment) for County employees

  • Maintains appropriate telephone logs

  • Records in Payroll's Cash Management Log the money received and gives the appropriate payroll specialist as well as receive monies from employees for copies of payroll/employee record copies; maintains Payroll Receipts and remits monies to HR Administration

  • Sends out communication emails to employees regarding retirement enrollments weekly

  • Records incoming affidavits for lost warrants, etc., and forwards to appropriate parties for approvals and processing

  • Prepares and makes available payroll data for subpoenas as requested by Employee Records

  • Processes and reviews the ASRS Enrollments of all new and newly rehired employees

  • Directs incoming emails with attachments from Maricopa County departments and distributes the attachments through OnBase Imaging system to be completed by a Payroll or Records Specialist

  • Logs walk-in documentation and retirement forms for Payroll & Records

  • Processes donation of leave requests for all Maricopa County Departments

  • Assists with scanning appropriate documentation to employee files

Working Conditions

  • Work primarily occurs in an office setting
