About the role: The Facilities Coordinator ensures the smooth and secure operation of corporate office environments. This role supports internal teams by managing space planning, vendor coordination, and facility-related systems and services. The ideal candidate is dependable, detail-oriented, and thrives in a fast-paced, service-driven environment.

*This is a full-time onsite position

Onsite Schedule: Monday through Friday 8:00am to 5:00pm

What you will be doing:

* Coordinate facility-related issues across corporate locations, including space planning and internal relocations.

* Develop and manage project plans for staff moves, ensuring alignment with management on space, equipment, and technology needs (e.g., furniture, PCs, phone lines).

* Receive and manage service requests (e.g., cabling, lighting, electrical, video conferencing), coordinating with vendors for timely resolution.

* Support onboarding and workspace setup for employees and contractors, including processing change requests and work orders.

* Track and follow up on open requests to ensure timely completion and provide regular status updates to stakeholders.

* Manage mailroom services, including incoming and outgoing mail, package handling, and coordination with delivery vendors.

* Monitor the receptionist/security area, including surveillance systems and entry/exit points, ensuring a secure and welcoming environment.

* Maintain and update the disaster recovery manual, including vendor contact lists and alternate facility plans.

* Manage access control systems: issue access cards and keys, coordinate lock installations, and review security reports in collaboration with property management.

* Notify property management of equipment deliveries and contractor visits, arranging access as needed.

* Negotiate vendor pricing and contracts for services such as telecommunications, waste management, and recycling.

* Coordinate cleaning schedules and responsibilities between building staff and internal teams.

* Oversee procurement of services, equipment, and supplies for the department.

* Maintain inventory of fixed assets and office equipment (e.g., printers, copiers, terminals).

* Conduct and document internal audits of facilities and equipment, reporting findings and action plans to management.

* Assist with budget planning and monthly variance reporting for the department's cost center.

* Partner with Executive Leadership and Management to facilitate onsite meetings with internal teams and external vendors.

* Ensure punctuality, dependability, and responsiveness in all aspects of the role.

What you bring:

  • Bachelor's degree preferred.
  • Minimum of 4 years of experience in facilities coordination or office administration.
  • Strong understanding of vendor and project management in a facilities context.
  • Proficient in Microsoft Office 365, especially Excel.
  • Experience with multi-floor building maintenance is a plus (may include lifting, cleaning, etc.).
  • Excellent communication skills, both written and verbal, with the ability to interact across all organizational levels.
  • Strong organizational, analytical, and problem-solving skills with attention to detail.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Outstanding customer service skills, including timely follow-up on emails and calls.
  • Required work hours: 8:00am-5:00pm Monday through Friday
  • Overtime required: As needed
