MEETING & EVENT SUPERVISOR JOB DESCRIPTION

We are seeking a highly organized and detail-oriented Meetings and Events Supervisor to join our team. The ideal candidate will be responsible for planning, coordinating, and executing a variety of corporate meetings, conferences, and events, ensuring a seamless experience for attendees and stakeholders. This position requires excellent communication, project management, and negotiation skills, as well as the ability to work under pressure while maintaining attention to detail.

Responsibilities:

  • This position sits on the meetings & events team and will report to a Meetings & Events Manager
  • This role is key to planning and executing all major DaVita meetings and events, ensuring their successful delivery
  • Meetings & Events Supervisor is responsible for bringing the ideas of DaVita senior leaders into fruition and strategically developing meetings and events that support key business initiatives and deliver high-quality experiences
  • Responsibilities include but are not limited to:
  • High degree of attention to detail in a fast-paced environment
  • Collaborate with DaVita senior leaders to bring event concepts to life, strategically supporting key business initiatives.
  • Manage the RFP process and contract negotiations for hotels, conference centers, destination management companies, production companies, transportation companies, and other miscellaneous vendors
  • Conduct discovery visits when necessary and lead team planning visits for programs under
  • Manage event logistics including registration, rooming lists, F&B, BEOs, AV, schedules, presenters, transportation, event material shipping, event app etc.
  • On-site execution to include management of all the above focused on the attendee experience and service excellence
  • Maintain clear communication with stakeholders, partners, vendors, and internal teams, providing regular updates and addressing any concerns.
  • Initiate development of project plan(s) for events and individual areas of ownership with minimal oversight
  • Post-event duties, including reporting and reconciliation, post-event communications and survey, invoice reconciliation, charge backs and expense analysis, suggest recommendations for continuous improvement and increasing cost/process efficiencies
  • Own multiple projects/initiatives at a time
  • Serve as a mentor for Event Planners & Sr. Event Planners
  • Pursue cross-collaborative work within and outside of department
  • Own larger and strategic pieces of events, and fully own smaller events and initiatives
  • Understand and track budgets to ensure fiscal responsibility
  • Potential to manage 1-2 event planners
  • Manage the Village Small Meetings process - partner with internal teams to develop requests for proposals for their lane's meetings - work with third party on property sourcing, develop recommendation parameters and guidance on contract terms

Qualifications:

  • Must live in the Denver, CO area, hybrid work environment
  • Bachelor's degree preferred
  • Minimum of five (5) year's event planning/coordination experience required
  • Must have experience executing events from beginning to end
  • Must be able to execute within deadlines and budgets
  • Proficiency in MS Office suite including Word, Excel, PowerPoint, Outlook & Teams
  • Advanced experience with registration software required, Cvent experience preferred
  • Travel Required, approximately 10-15%
  • Must be able to perform in a fast-paced, continuously evolving environment and collaborate in a team environment
  • Ability to manage heavy correspondence
  • Certified Meeting Professional (CMP) Accreditation a plus, but not required

Salary/ Wage Range

$56,500.00-$75,000.00 / year
