Job Details

The Senior Specialist is responsible for developing and executing measurable event strategies and experiences for trade shows and industry events. This role involves managing logistics and budgets to ensure successful outcomes in a dynamic, fast-paced environment. A collaborative approach is essential, as the Senior Specialist will work closely with various internal stakeholders and external partners to align events with both the business unit's and the company's brand strategies and objectives. As a key member of the marketing team, this position plays a vital role in executing the organization's event strategy, driving engagement, and contributing to overall business success by enhancing brand awareness, preference, and pipeline growth.

  • Strategic Event Planning: Develop and implement trade show and event strategies that align with the business unit and organization's broader marketing objectives. Collaborate with internal stakeholders to select events that optimize brand exposure and engagement.
  • Project Management: Schedule and conduct event pre-planning meetings; prepare and distribute agendas; track event deliverables, deadlines, creative needs, and project milestones. Ensure critical deadlines are effectively communicated, monitored, and met through a structured timeline.
  • Logistics Management: Manage all aspects of logistics for assigned conventions, ensuring high-quality execution while adhering to brand guidelines and compliance standards.
  • Measurement and Analysis: Assist the Marketing team to prepare and deliver post-show results and metrics that evaluate event goals, objectives, and customer engagement activities.
  • Budget Management: Develop accurate budget estimates and assist with ongoing budget tracking before, during, and after the event. Manage event within the assigned budget. Ensure adherence to established processes for invoice submission and tracking to maintain financial accountability and transparency.
  • Industry Relations and Vendor Management: Oversee daily operations to cultivate and maintain strong relationships with associations, industry partners, and vendors, ensuring effective collaboration and communication to support organizational goals.
  • Improvement and Innovation: Recommend innovative improvements and best practices that elevate the overall event experience and enhance the attendee experience.
  • Operational Excellence: Recommend new or enhanced processes to continuously improve event execution and efficiency.

    Requirements:

    • 3-5+ years of experience in managing trade shows and events.
    • Proven ability to manage multiple projects simultaneously in a fast-paced environment.
    • Ability to think strategically while executing tactical plans and managing deadlines.
    • Excellent communication and interpersonal skills for effective collaboration
    • Proficient in standard office software and equipment to support business processes.
    • Experience in budget management and vendor coordination.
    • Strong organizational skills and attention to detail.
    • Willingness to travel up to 20%, including weekends.
    • Knowledge of industry trends and best practices in event and trade show management.
    • Familiarity with digital marketing strategies related to events and trade shows.
    • Experience managing events in a regulated industry (e.g., medical device, pharmaceuticals, finance).
    • Strong ability to influence and negotiate effectively.
    • Skilled in reviewing and managing contracts effectively.
    • Experience with event management platforms like Cvent, as well as Sales Force and Marketing Cloud

    *This Salary Range reflects a National Average for this job. The actual range may vary based on your locale. Ranges in Colorado/California/Washington/New York/Hawaii/Vermont/Minnesota/Massachusetts/Illinois State-specific locations may be up to 10% lower than the minimum salary range, and 12% higher than the maximum salary range.
