Job Summary

The Portfolio Specialist supports the real estate asset management function by efficiently processing executed real estate documents, maintaining compliance across a large property portfolio, and collaborating with stakeholders to uphold contract terms. This role ensures the integrity of lease records and supports enforcement actions while maintaining high performance standards in a fast-paced environment.

This position is based in Leawood, KS and is not eligible for relocation.

What you will be doing:

  • Review and abstract lease agreements, amendments, and financial schedules in the lease management system (Lucernex).
  • Support lease enforcement by preparing lease-related documents such as demand letters, default notices, and lease summaries.
  • Collaborate with cross-functional partners including Operations, Legal, Facilities, and external stakeholders (vendors and real estate negotiators) to provide support and lease interpretation to ensure lease compliance.
  • Analyze and reconcile lease statements to confirm that financial obligations align with contractual terms.
  • Organize and maintain lease records and the contract tracking system to ensure document accessibility and accuracy.
  • Evaluate and respond to lease provisions, including rent adjustments and operating cost changes.
  • Conduct research to support lease administration and resolve discrepancies.
  • Perform reconciliations and ensure payments reflect accurate lease terms.

What we need from you:

  • 5+ years of relevant legal experience with a focus on commercial real estate, leasing and transactional contracts or commensurate experience.
  • Advanced analytical and problem-solving, and negotiation skills with the ability to work through complex issues and communicate effectively to senior leadership.
  • Ability to interpret lease language and relate specific questions and billings.
  • Understanding of retail and leasing terms and provisions.
  • Proficiency with Microsoft Excel (including formulas such as VLOOKUP, pivot tables and IF THEN functions), Word, Outlook, and Adobe Acrobat.
  • Knowledge of how to analyze and accurately adjust tenant billing for rent adjustments such as operating expense escalation, common area maintenance (CAM) charges, consumer price index (CPI), step rents, etc.
  • Knowledge of accounting procedures including ability to evaluate, configure and reconcile complicated lease payment related issues.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Experience using Lucernex, Oracle, or other lease management systems.
  • Strong communication skills and a collaborative approach to working with diverse teams.

What we also value (preferred):

  • Bachelor's Degree in Accounting, Finance, Business Administration
  • Paralegal experience, especially related to contracts or real estate.
  • Knowledge of Lucernex, Oracle or similar real estate life-cycle tracking systems
