Funding for this position is contingent upon the terms of the grant. This position is funded through June 30, 2026. Up to 19 hours per week, hours vary based on departmental needs. This is an 43 week -academic year position which typically runs from mid- August through mid-May. The Administrative Assistant I, provides essential support by managing front desk operations, greeting visitors, answering phone calls, and performing a variety of clerical and administrative duties to support the Student Engagement & Community Impact Department department. This includes managing schedules, handling communication, organizing documents, and assisting with day-to-day operations. The role involves data entry, maintaining ling systems, and coordinating meetings, all while ensuring smooth workflow and efficient office management. The Administrative Assistant I plays a key role in supporting the team's needs, ensuring a productive and organized work environment. Work involves a variety of tasks that require attention to detail, basic analytical skills, and the ability to follow established practices and procedures. Supervision is provided to guide the employee, with a focus on training and development. The position involves working both independently and as part of a team to support staff and achieve goals.

Characteristic Duties and Responsibilities

Reception and Customer Service: Performs front desk operations, greets and assists visitors in a professional and courteous manner providing exemplary customer service, answers and directs incoming calls, takes messages, and ensures timely follow-up, and monitors and manages office deliveries and mail distribution. Administrative Support: Provides general administrative support to department by managing all ling and maintaining the ling system. Completes data entry, photocopying, and assists in the preparation of documents, reports, and correspondence as needed. Schedules appointments, meetings, and conference room reservations. Provides administrative support to staff and management, including handling routine inquiries and performing tasks as directed. Maintains Office and Supplies: Ensures the office is kept clean, organized, and functional at all times. Performs inventory of office supplies and requests/orders additional supplies as needed. Ethics and Confidentiality: Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness, and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner. Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with students, staff, faculty, and administrators. Continuous Learning & Professional Development: Maintains informed on emerging technology trends and common user issues in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning. Other duties: Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications

Compliance with all state, federal, and accreditation standards/requirement, as well as all MATC policies and procedures. Required Education & Experience: High school diploma or equivalent and a minimum of six (6) months of office experience. Supplemental Information

Start Date: This position supports the Student Engagement & Community Impact Department and is available to start as soon as possible. Hours: Up to 19 hours weekly, in-person, primarily based out of the Downtown Campus. Work is conducted during scheduled course hours, Monday - Friday. Hours vary based on departmental needs. Employees will conduct all work hours in the State of Wisconsin, performing work outside the state is strictly prohibited. Salary: One grant-funded position. Funding for this position is contingent upon the terms of the grant. This position is funded through June 30, 2026. Salary is determined by years of experience credit and internal salary equity. Salary determination will be only based on years of credited experience that is listed on the job application, please include complete work history. This position because it will work less than 6 months it is not benefit eligible.
