Position Summary

The Senior Executive Assistant is responsible for providing administrative and project management support to the Chief Executive Officer (CEO) The EA interacts with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization, using independent judgment to plan, prioritize, and organize a diversified workload. Duties & Responsibilities
  • Provide administrative support and serve as primary support for the CEO daily.
  • Schedule and organize complex activities such as meetings, travel, conferences, investor, and team activities.
  • Manage calendar, plan, and coordinate meetings and other activities on behalf of the CEO.
  • Ensure all executive verbal and written communications originating from the CEO are precise, timely, and demonstrate a high degree of professionalism and service.
  • Handle confidential and non-routine information, maintaining confidentiality.
  • Work closely and effectively with the CEO to keep informed of upcoming commitments and responsibilities which may include before or after-hours communication and tasks.
  • Completes all aspects of the deliverables needed by the CEO which may include personal correspondence and other tasks that facilitate the CEO's ability to lead the company.
  • Reconcile the corporate credit card accounts of the CEO and prepare expense reports.
  • Design and produce general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Assist and coordinate special projects such as strategic plan and budget preparation, etc.
  • Proofread work for spelling, grammar, and layout, making appropriate changes to ensure accuracy and clarity of final copy.
  • Anticipate, initiate, organize, and implement systems and procedures to efficiently manage projects, customer relationships, events and meetings.
  • File correspondence, process invoices, organize reports, route inquiries to appropriate parties, and always maintain a high degree of organization at all times.
  • Create and develop reports and visual presentations utilizing Microsoft Power Point or other software.
  • Act as a liaison with other teams and outside vendors, including high-level staff such as CFO, CCO, Regional/Market Presidents and other Partners.
  • Assist with maintaining the Executive area, including but not limited to ensuring we have sufficient stock toner, print postage, coffee as well as set-up conference rooms for meetings, order team lunches, etc.
  • Utilize all office equipment, video conferencing, Microsoft Teams, telephones, fax machines, computers on a regular basis, including general knowledge of social networking and utilizing technology to its fullest.
  • Provide extraordinary service to internal and external clients.
  • Develop and maintain trusted, positive relationships with other employees, clients and vendors.
  • Always represent the Bank and Executive team in a highly professional manner.
  • Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
  • Maintain confidentiality; adhere to Busey Bank policies and procedures; comply with laws, regulations, and industry best practices.
  • Reliable and predictable on-site attendance.
  • This position occasionally requires long hours, weekend work, and local travel. On a rare occasion, there may be out of state travel, which may require overnight stays.

Education and Training:

  • Bachelor's degree or equivalent combination of education and/or work experience.
  • Five or more years' experience providing C-Level support to senior management in a fast paced, service-oriented environment; banking, accounting or consulting firm experience preferred.
  • Possess in-depth knowledge of office technology and business communication.
  • Successfully demonstrated detailed and strong communication of professional and accurate correspondence, presentation and written reports.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Teams, etc.).
  • Ability to be flexible and adapt to change while maintaining a high level of professionalism.
  • Exceptional organizational skills and demonstrated success in a multi-task environment with attention to detail and follow through.
  • Reputation for persistence, flexibility, dependability and teamwork.
  • Must possess ability to remain calm in the face of changing priorities and work with a sense of urgency.
  • Extremely detail oriented and self-motivated.

Benefits and Compensation

Salary offered is based on factors, including but not limited to, the job duties, required qualifications and relevant experience, and local market trends. The role may be eligible for bonus or incentives based on company and individual performance.

(Base Pay Range: $85,000 - $115,000/year)
