Otolaryngology Residency Program 100%
1. Assist with the coordination, operation and management of the Otolaryngology Residency Program.
2. Attain and maintain Certification of Training Administrators of Graduate Medical Education (C-TAGME). Continued participation in lifelong learning activities to gain and maintain sufficient knowledge and proficiency in ongoing job requirements, accreditation standards and board requirements. Including regularly presenting training at PC Professional Development sessions sponsored by SIU Office of Graduate Medical Education (OGME). This may also include regional and National coordinator conferences and workshops.
3. Responsible for initiating the schedule of Residency activities as well as regularly communicating such information to Faculty, Residents, staff and other related personnel. These include assisting with preparation and distribution of the annual master schedule, monthly on-call schedule and monthly conference schedule including titles, presenters, dates, location and times. Assists with the preparation and distribution of weekly schedule, which includes conferences, rotators, Faculty and Resident call schedules, clinical and OR scheduling. Maintains call schedule in the electronic system for the SIU Call Center.
4. Serve as a liaison to Residents and students regarding education and related programs offered by the Department of Otolaryngology and the University.
A. Serves as advisor for Resident student activities.
B. Advise and monitor Residents / students regarding requirements for meeting the set curriculum of the Department.
C. Provide overall organization of the Resident student activities and provide necessary assistance. Furnish information to Residents regarding financial assistance, work assistance, work opportunities and scholarships.
D. Coordinate the surgery clerkship students assigned to the Department, as well as student electives, observers and other outside rotators. Notify students, chief Resident and Faculty of the student assignments regarding clerkship and electives.
E. Establishes formal record of medical education participants; responsible for accuracy and completeness of record in accordance with accreditation standards.
5. Assists with preparation and execution of the application process for the Residency program. This includes:
A. Assist in managing and coordinating all administrative duties relative to the Resident recruitment and selection.
B. Respond to letters of inquiry concerning the Otolaryngology Residency program.
C. Manage computerized Electronic Resident Application System (ERAS). Make determination of applications that will require additional review by Faculty.
D. Establish the official record on each accepted application, which includes their application material and evaluation results.
E. Perform initial review / assessment of transcripts, reference letters and other application material to determine eligibility for Otolaryngology Residency Program.
F. Coordinate and assign Faculty that will review applicant files as part of the Selection Process.
G. Notify accepted candidates of interview dates and related information.
H. Coordinate social event for Resident applicants to meet and visit with the current Otolaryngology Residents.
I. Coordinate the Otolaryngology Faculty and clinical attendings to conduct personal interviews with invited candidates (via in-person or Zoom). Develop the interview day schedule and prepare interview evaluation forms. Host each interview session, including managing break-out rooms and creating a welcoming and comfortable atmosphere between interviews.
J. Format and develop a Residency packet containing pertinent information for each Resident applicant to receive on the day of his or her interview.
K. Coordinate luncheon and tour of facilities for applicants with the Otolaryngology Residents, should in-person interviews be appropriate.
L. Distribute background materials on candidates to all interviewing Faculty and Residents.
M. Collect and organize candidates' evaluations by Faculty and Residents.
N. Arrange ranking meetings with Otolaryngology Faculty.
O. Distribute applicant files to appropriate hospitals and staff for credentialing.
P. Prepare and confirm the final rank list with the Program Director then enter on the secure National Resident Matching Program (NRMP) website for the National Match.
Q. Coordinate the orientation process for all incoming Otolaryngology Residents and fellows, schedule computer training with SIU and affiliated hospitals. Conduct non-clinical segment of formal orientation specific to the Department.
R .Processes reimbursement forms for Residents, as needed.
6.Coordinate Clinical Competency Committee (CCC) Meetings semi-annually. This includes:
A. Distribution of evaluation reports to committee members for review prior to CCC meeting.
B. Preparation of milestone evaluations in New Innovations.
7. Coordinate Program Evaluation Committee (PEC) Meeting annually. This includes:
A. Preparation of information for committee review, including Resident performance, Faculty development, graduate performance and program quality. This data is gathered from Resident evaluations, program evaluations, Faculty evaluations, Faculty development records, survey results, milestone reporting, board pass rates / results, alumni surveys, and most current Program Improvement plan.
B. Document the formal, systematic evaluation of the curriculum, program goals and objectives and program improvement initiatives.
8. Prepare and enter Annual Program Evaluation (APE) and Action Plan report and enter into New Innovations.
9. Assist Program Director in preparation for Annual Updates in the ACGME WebAds, GME Track and NRMP database.
10. Compose correspondence, memos, reports and recommendation letters. Provide verification of training on past and present Residents requesting hospital privileges as well as practice opportunities.
11. Prepare annual contracts for all Residents. Verify for accuracy and send to OGME for upload to DocuSign and appropriate distribution.
12. Schedule Residents for semi-annual evaluation sessions with Program Director and record such reports.
13. Process performance evaluation for Residents and send to proper Faculty and attending physicians for completion. Document that all evaluations are returned and that information is properly recorded.
14. Assist with organizing and implementing case evaluation schedule for core surgical cases within the scope of the Otolaryngology practice in accordance with the American Board of Otolaryngology standards.
15. Compile and enter academic incentive for all Otolaryngology Faculty members regarding Residency training activities.
16. Register and process payment for Residents and testing facility for Annual Inservice Training Exam. Proctor exam, and secure additional proctors, as required. Compile and organize additional testing materials as directed by Faculty.
17. Assist Program Director in preparing and completing annual program surveys. Verify all program information and demographics regarding the current Residents as well as incoming and graduating Residents.
18. Maintain, edit and prepare information related to policies and procedures to be included in the Residency handbook.
19. Review and edit documents prepared by the Residency Program Director for content, spelling, punctuation, syntax and format.
20. Review Residency Program Director's mail and determine which items require a response within the scope of the Director's duties. Provide drafts/final copies of these responses, when appropriate.
21. Arrange all details of Resident attendance at meetings and conferences including travel.
22. Complete registration forms and out-of-state travel request forms for attendance at meetings
23. Prepare travel vouchers and maintain a travel budget for each Resident.
24. Maintain database of Resident sick leave, educational leave and use of vacation time.
25. Monitor duty hour completion on a monthly basis of the Residents. Check for duty hour violations monthly and report issues to Program Director.
26. Arrange and coordinate social functions related to the Residency program including but not limited to the following:
A. Annual Senior Resident Dinner
B. Annual Resident Research Day
C. Applicant Interview Receptions
27. Schedule and coordinate Resident elective experience in the surgical skills lab, including coordination of Visiting Professors, establishing any necessary itineraries, travel arrangements, announcement flyers, AV equipment, honorariums, as well as travel and reimbursement expenses. Provide support to ensure the smooth operation of the visit.
28. Coordinate the Faculty assignments for Journal Club articles and M&M conference, copy and distribute to the Residents, Faculty and clinical Faculty in advance.
29. Coordinate regularly scheduled series CME conference (monthly Grand Rounds and weekly HANOT) for Otolaryngology Residents, Faculty and staff. This includes scheduling virtual meeting, assist with requested audio/visual needs and preparation and distribution of the promotional materials, and compliance with conflict-of-interest protocol, attendance reports, and annual payment processing.
30. Attend Annual CME workshop to learn about compliance with current CME requirements and reporting.
31. Coordinate annual Visiting Professor and Resident Research Day. Establish itineraries, travel arrangements, announcement posters, and audiovisual equipment, honorariums as well as travel and reimbursement expenses. Provide support to ensure the smooth operation of the visit.
32. Schedule catering for all Resident conferences throughout the academic year, as needed.
33. Support teaching responsibilities, including the scheduling of Resident and student conferences and arrange / prepare slides and printed material as necessary, with special attention to scheduling, coordination and communication with guest lecturers.
34. Schedule conference rooms for all Resident conferences in both hospitals and the University throughout the academic year. Request necessary audiovisual equipment to be available. Prepare proper conference room forms for meetings.
35. Serves on committees both internal and external to the University that involve the educational program(s) and represents the Department at meetings external to the University.
36. Other duties as assigned.
