Hours: Monday to Friday: approximately 8:00 am to 5:00 pm (flexible)

Job Description


Administrative Assistant will be responsible for providing essential administrative support to ensure smooth day-to-day operations of our team, including payroll, invoicing and regular reporting. The ideal candidate will be able to effectively communicate with our team and customers. They will be detail oriented and adept at managing multiple tasks, demonstrating strong problem-solving and time-management skills. They will be dependable and able to work independently.


Responsibilities



  • Support team manager, facility performance service team, and home office
  • Schedule and dispatch facility performance service team, as required to meet the varying needs of customers
  • Issue e-mails and hard-copy correspondence, as required
  • Track service calls and work orders
  • Send payroll data and invoices to main office weekly
  • Track expenses and submit to main office
  • Assemble cost estimates for projects
  • Prepare invoices to send to clients
  • Track projects from sales stage through invoicing / project close-out
  • Deal directly with vendors to set up accounts address any other issues
  • Publish daily and monthly reports, as required
  • Other duties as assigned


Requirements



  • High school diploma or General Education Development (GED) certificate.
  • Minimum of 5 years of recent administrative support experience. Additional experience is a plus.
  • Two years of accounting experience preferred.
  • Knowledgeable with mechanical and/or controls equipment and/or general service / facility management a plus, but not required
  • Extremely proficient in Microsoft Office Suite, particularly Word and Excel, with an ability and willingness to learn additional software when needed.
  • Excellent written and verbal communication skills, with the ability to interact effectively with team members, clients, and vendors.
  • Strong attention to detail, with an ability to work independently.
  • A proactive approach to work, anticipating needs and taking initiative to resolve issues.
