Position Summary Information






Primary Purpose
The Assistant Director of Events will be responsible for the production and execution of high profile events for development and alumni relations division, including Homecoming, stewardship events, Distinguished Alumni Awards, regional events and will be the primary campus partner lead for all event elements of Atheltics development events such as fundraising mixers, meet-n-greet's, virtual fundraisers, golf tournaments and primarily Orange & Black Ball. Assist with an event request directly from the Athletic Director such as Welcome Back and Tommy Awards.
Essential Functions

  • Develops and executes a project management plan for each event involving donors, and alumni, which are key to facilitating engagement and nurturing philanthropy.
  • Plans and coordinates the logistical and technical aspects of development and alumni relations events with campus partners, including securing venues, catering, parking arrangements, contracts, etc.
  • Leads event planning meetings as well as serves as the on-site logistical lead for events.
  • Collaborates with internal partners to ensure events are executed within allotted budget and deadlines are met.
  • Ensures consistent university branding and messaging to promote the university at events.
  • Maintains key event calendar for the division to manage priorities and bring stakeholders together to establish vision, outcomes and return on investment.
  • Ensures timely follow-up for each event, including briefings, thank you letters and emails, and all other follow-up as appropriate.
  • Oversees volunteer and student support for events.
  • Prepares event briefings for highly visible events for senior leadership in the division.
  • Key booking agent for all off-campus venues and vendor sourcing to adequately represent the needs of the athletic fundraising events.
  • Performs other related duties as assigned or requested.

Minimum Qualifications

  • Bachelor's Degree.
  • Three (3) years of experience in event management.


Preferred Qualifications

  • Proven ability to use MS Office Suite, Cobblestone management systems, Cvent Suite (primarily Social Tables)
  • Experience working in higher education, with strong understanding of athletics systems and programs.
  • Strong negotiation skills.
  • Excellent customer service and public relation skills.
  • Demonstrated ability to work both independently and as part of a team and to work collaboratively with staff.
  • Excellent organizational and event planning skills.
  • Ability to work effectively with diverse constituencies.
  • Initiative to organize and follow-through with complex tasks to meet deadlines with multiple events stacked in one day as well as consecutively creating a delicate balance to manage.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures as well as information at times sensitive in nature.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel
Work is performed in a standard office environment with use of computer and phone. Must be prepared to work non-business hours and weekends. Frequent travel both local and overnight. Frequent use of laptops and mobile devices to access data while traveling.

Valid driver's license required. Incumbent must also be able to meet the University's fleet rules and be eligible to drive for University business. The University and its insurance carrier reserves the right to exclude applicants based on their driving record.
Hiring Range $68,640 - $86,273 (We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as organizational considerations when extending an offer.
