The Machine Learning Department (MLD) is a leading hub for research and education in artificial intelligence and machine learning. It focuses on developing innovative algorithms and models to address sophisticated problems in diverse fields such as robotics, healthcare, and finance. The department offers a range of undergraduate and graduate programs, encouraging a collaborative environment that bridges theoretical research and practical applications. Faculty and students frequently collaborate with industry and other academic disciplines to push the boundaries of what is possible with machine learning.

We are seeking a Project Coordinator. This position will provide comprehensive administrative and operational support to the AI Institute for Societal Decision Making (AI-SDM), playing a critical role in facilitating meetings, coordinating events, managing research documentation, and assisting with various administrative tasks. This position reports directly to the Managing Director of AI-SDM.

Core Responsibilities: Meetings & Events:
  • Thrust Meetings: Attend and document, compile, and share meeting notes, recordings, and agendas. Obtain researcher availability and collaborate with the Administrative Assistant for scheduling.
  • Event Planning & Execution: Assist with logistics, planning, and speaker recruitment for various events, including site reviews, annual meetings, workshops, seminars, student events, and speaker events.
  • Event Support: Assist with setup, cleanup, and logistics for seminars, speaker events, social events, and specific events like the NSF site visit (May), educator workshop (July), and research workshop (September).
Partnerships
  • Support partnership activities by assisting with scheduling and coordination of meetings between leadership, faculty members, and external partners.
  • Attend partner meetings with leadership to provide administrative support, including note-taking and follow-up on action items.
  • Help maintain records related to external and internal partnerships.
Research Support:
  • Coordinate and Track Research Updates: Solicit, collect, and file quarterly and annual research project updates from researchers. Make light edits for clarity and consistency.
  • Maintain Research Publications Catalog: Compile and maintain a comprehensive catalog of research papers and journal articles authored by AI-SDM researchers. Track any news articles that feature AI-SDM or its researchers.
  • Facilitate Shared Computing Access: Handle researcher access to shared computing resources.
Administrative Tasks:
  • Financial Tracking & Management: Track funded/non-funded researchers and students, ensuring timely invoice processing and accurate fund allocation.
  • Website & Social Media: May assist with website updates and social media posts as needed.

Qualifications:
  • Bachelor's Degree in Computer Science or a related field; Master's Degree preferred
  • Proven experience in administrative support, project coordination, or event planning roles, preferably within an academic, research, or non-profit environment.
  • Experience involving coordination of sophisticated schedules, managing multiple stakeholders, and handling detailed logistics will be highly valued.
  • Prior exposure to research operations or a scientific setting is a plus.
  • A combination of education and meaningful experience from which comparable knowledge is proven may be considered.
