JOB TITLE:

Administrative Associate

JOB PURPOSE:

Provide, under very limited supervision, project leadership and assist with directing the operational and planning functions of a large/complex designated unit requiring the use of considerable independent judgment, originality, and application of management and human relations skills. Autonomously oversee and/or coordinate complex administrative tasks that substantially impact operations within and outside the unit/program.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Autonomously interpret policy and procedures, providing interpretations requiring extensive knowledge of university, state, and federal rules and regulations to include excused absence, semester withdrawal, student leave and admissions consultations.
  • Schedules, prioritizes, coordinates, and performs administrative office support activities related to meetings, events, and office services. Assists with research, gathers information, and provides coordination of activities and administrative support of projects, programs, or services. Receives and responds to inquiries and information requests, resolves issues, and/or refers requests to appropriate resources.
  • Manage front-line interaction for DOS Office to include management of DOS email, answering phones, greeting visitors, checking in students for appointments, attending to questions, providing referrals to appropriate contact and/or resources, providing information regarding policies, eligibility requirements and range of services, all while maintaining confidential information.
  • Coordinate information between individuals, departments and/or outside agencies as directed; assist with communication regarding extenuating circumstances involving students; assist with problem resolution as required. Front-line management of student crises and/or emergencies including discussion and interpretation of sensitive information and topics regarding student needs and mental wellness.
  • Provide administrative oversight for Maxient database (e.g., including maintaining the system, assigning cases to staff, pulling data to review trends and end-of-year reports).
  • Maintain departmental purchase-card, submitting required documentation for payment processing.
  • Participate in UW CARES team weekly meetings to assist in case management documentation and record keeping.
  • Hire, train, and supervise part-time support staff including work-study students.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree

Experience: 2 years progressively responsible work-related experience

Required licensure, certification, registration or other requirements: None

DESIRED QUALIFICATIONS:
  • Previous experience in an academic setting
  • Experience planning, facilitating, and coordinating meetings
  • Ability to exemplify professionalism and maintain confidentiality; working with sensitive information
  • Experience with interpreting data and reporting writing
  • Strong computer skills with proficiency using standard office software (e.g., Microsoft Office Suite).
  • Exceptional interpersonal, verbal, and written communication skills with prominent level of orientation to customer service.
