Primary Purpose: The CMMS & Purchasing Analyst plays a critical role in overseeing the management of the Computerized Maintenance Management System (CMMS) and assisting in the company's purchasing activities. This role ensures the effective management and optimization of the CMMS database, supports maintenance and asset management operations, and manages procurement to ensure the availability of necessary materials and equipment. The individual will also analyze purchasing trends, assist in vendor management, and ensure that procurement activities are efficient and cost-effective.

CMMS Management, Planning + Optimization

  • Responsible for maintaining organization and training staff on CMMS system use, ensuring optimal workflow and data entry standards for ordering new parts and materials

  • Create and manage maintenance work orders, preventive maintenance schedules, and asset tracking within the CMMS.

  • Perform regular system audits to ensure data accuracy, integrity, and compliance with internal standards.

  • Monitor and analyze asset performance data to identify trends, inefficiencies, and areas for improvement.

  • Generate and analyze reports related to equipment downtime, maintenance costs, and other KPIs.

  • Work with maintenance teams to continually improve workflows, optimize scheduling, and reduce downtime.

  • Implement software updates, patches, and integrations as necessary to improve functionality.

  • Provide technical support for CMMS users and troubleshoot system issues in a timely manner.

  • Collaborate with IT and vendors to resolve system-related issues and ensure proper integration with other systems (e.g., ERP or inventory systems).

Purchasing, Inventory & Vendor Management

  • Assist in the purchasing process for materials, supplies, and services required by maintenance team ensuring that orders are made in a timely and cost-effective manner using proper approval processes

  • Source suppliers, negotiating terms and prices to secure the best deals.

  • Track inventory levels and place orders for necessary parts, equipment, and supplies, in coordination with the maintenance team

  • Assist in managing stock levels to avoid overstocking or shortages, contributing to inventory control and cost reduction efforts.

  • Maintain relationships with suppliers and vendors, ensuring that the company receives quality products on time

  • Evaluate supplier performance based on criteria like cost, delivery time, and product quality

  • Resolve issues related to delayed shipments, damaged goods, or pricing discrepancies

  • Monitor, track, and analyze purchasing trends, market prices, and vendor performance

  • Provide data-driven insights to help optimize purchasing strategies, reduce costs, and improve supplier relationships.

The accomplished individual will possess...

  • Bachelor's degree in Business Administration, Supply Chain, Purchasing or Finance field

  • Proven experience with CMMS software administration (e.g., MPULSE, SAP, Maximo, or similar).

  • Experience in procurement, purchasing, or inventory management (preferably in manufacturing or facilities management).

  • Proficient in using CMMS software, MS Excel, and other data management tools.

  • Understanding of inventory management and cost analysis principles.

  • Strong written and verbal communication skills, with the ability to work effectively with cross-functional teams.

  • Ability to work independently and prioritize tasks.

  • Excellent organizational and analytical skills

  • Exceptional attention to detail and record keeping skills

  • Experience using SAP Ariba/Buying Hub or similar end to end Procurement System

  • Basic knowledge of supply chain and procurement processes preferred

The outstanding individual will possess...

  • Certification in Purchasing (e.g., CPSM, CPP, or similar) or CMMS (e.g., Certified Maintenance & Reliability Professional) is a plus.

  • Experience with ERP systems (e.g., Oracle, SAP, etc.) or other integrated management software.
