Account Clerk II
Campus: Smyrna Position number: B99799 Salary: $30,284-$33,284 Motlow State is located in the beautiful rolling hills of middle Tennessee and has four campuses that serve students from eleven counties. General Function: Effectively, correctly and timely applies accounting principles to the maintenance of fiscal records and performing related work as required. Minimum Qualifications: High school diploma or equivalent. Two (2) years of full-time cashiering or accounting related experience or one year of experience as an Account Clerk within MSCC Business Office. Preferred Qualifications: High school diploma or equivalent supplemented by courses in accounting principles and practices. Two (2) years of full time cashiering or accounting related experience within an institutional business office and/or State Education Agency office or one year of experience as an Account Clerk within MSCC Business Office. Major Duties and Responsibilities:
- Serve as the front-line contact at the service windows for students and others with inquiries and needing to conduct financial business with the college. Receive the major portion of incoming telephone calls to the business office and routes inquiries to appropriate individual or department.
- Serve as lead cashier and maintains an automated cash receipt system at the Smyrna Campus. Post payments to system and performs daily reconciliation of receipts. Determine appropriate accounts for cash receipts according to established accounting classifications and requests the addition of accounts as necessary. Assist with verification and review of all financial aid checks prior to distribution to students. Verify that students have provided all required certifications and appropriate identification before distribution of financial aid checks.
- Process all incoming external and internal mail for their home campus business office and route to appropriate individual for processing.
- Monitors business office operating supplies and initiates purchase of such as needed.
- Maintains the automated parking system for students and staff. Assist with Preparation of spreadsheet to record all utility charges and fuel allocations for journal entries.
- Provide training on the Touchnet cashiering system for personnel at all campuses. Monitor and train student worker office assistant as well as temporary employee(s) Assist with daily business office related work duties. Assist with registration at all campuses as needed/assigned.
- Assist with the scanning of accounting documents. Assist accounting staff with pulling documentation for grants, compiling information for reports for internal departments, TBR and audit or requests.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- Strong computer skills, including but not limited to Ellucian Banner Finance, SciQuest, Touchnet, word processing, spreadsheets, e-mail, database, and internet.
- Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
- Knowledge of confidentiality statutes and policies as they apply to financial transactions involving students, staff and vendors including but not limited to FERPA, Financial Aid program requirements and employment.
- Ability to establish and maintain effective professional relationships with students, colleagues and other stakeholders.
- Knowledge of customer service principles and practices and the ability to effectively apply them in the higher education environment.
