Role Summary: Reporting to the Marketing Operations Manager, the Marketing Operations Coordinator plays a key role in supporting Kendall's marketing department. The person in this role will be involved in managing daily marketing requests from the field, entering incoming project requests, coordinating signage and promotional items for events, coordinating and maintaining marketing development funds, overseeing promotional products and generating tracking reports and analytics.

The essential duties and responsibilities of the Marketing Operations Coordinator will consist of, but are not limited to, the following:


  • Coordinate inbound marketing inquiries and route requests to appropriate teams
  • Support lead distribution, promotional item quote requests, and general internal inquiries
  • Oversee print and promotional material requests, including sourcing, ordering, and shipping
  • Support field events and promotions by coordinating materials, logistics, and communications
  • Review marketing requests, collaborate with stakeholders to clarify needs, and create or assign projects using internal tools
  • Handle vendor funding reimbursement processes including organization, order and invoice creation, portal preapprovals/submissions, accepting payments, master ledger management, and reoccurring follow-ups to completion.
  • Administer sales rewards programs by updating participant lists, reviewing reports, and resolving inquiries; run reports and submit quarterly marketing activities for reimbursement
  • Organize signage, promotional items and marketing kits for events, ensuring timely delivery and return of materials
  • Generate and maintain monthly reports related to marketing requests, print requests, marketing resource library, promotional store inventory, and program audits
  • Maintain promotional item inventory, coordinate bulk orders /event giveaways and raffle items; liaise with vendors for sourcing, quoting, and invoicing; track and report on inventory levels and usage
  • Coordinate holiday gift program including gift selection, branding, and communication with leadership
  • Coordinate holiday card program for field including ordering, fulfilling, shipping and invoice submissions to accounting
  • Coordinate annual calendar programs from internal field ordering to master order fulfillment; collaborate with internal teams, leadership teams and vendors to execute
  • Perform other duties as assigned

What you'll need:


  • Work Experience: 1 years' experience in marketing coordination or operations; familiarity with accounts receivable processes, including invoicing, collections, and maintaining accurate ledger records.
  • Education: Bachelor's degree in marketing, business, or organizational communications
  • Analytics/Computer Skills: Proficiency in Microsoft Office, specifically Excel (pivot tables) and project management tools such as AirTable; ability to streamline and document processes; ability to analyze data and create relevant and insightful reports
  • Organizational Skills: Strong organizational and analytical skills; ability to manage multiple projects, deadlines, changing priorities and resources efficiently with high attention to detail
  • Cross-functional Skills: Ability to work well cross-functionally and communicate effectively across multiple levels of the organization; ability to collaborate with multiple teams and individuals
  • Communication Skills: Strong interpersonal communications skills

Qualifications we prefer but do not require:


  • Work Experience: 3 years' experience in marketing coordination or operations with BI or Excel reporting responsibilities; experience with accounts receivable processes, including invoicing, collections, and maintaining accurate ledger records.
