Summary of the Job:

The Administrative Professional provides administrative support for the Equity Capital Market management team. This position is located onsite in our Ridgewood, New Jersey office.

About This Role:

ESSENTIAL JOB FUNCTIONS AND DUTIES

Provide administrative support for the Equity Capital Markets management team.

Coordinates meetings for the ECM management team to include scheduling of meetings, preparation of meeting materials, logistics, travel arrangements, and other support as needed.

Produces written materials, such as letters, emails, and other correspondence, in a timely, error-free manner.

Creates and develops visual presentations, as needed.

Organizes and prioritizes large volumes of information and anticipates/points out possible areas of concern to the ECM management team.

Coordinates office set up/logistics for new and existing employees as needed.

Handles extremely confidential and non-routine information.

Completes expense reports for ECM management team on a timely basis.

Develop and maintain positive employee and customer/client relationships.

Maintain management and leadership records as needed, adhering to regulatory expectations with customer confidentiality.

Complete special projects as assigned within allotted time frames.

Exercise a willingness to be a resource to colleagues.

Order and maintain inventory of office supplies and equipment.

Receive, sort, and distribute all incoming mail on a timely basis.

Assists with additional projects and tasks as needed within the ECM group.

The Ideal Candidate for This Role:

The requirements listed below are representative of the knowledge, skill and/or ability in this job position.

Excellent judgment and discretion coupled with the ability to maintain confidentiality.

Detail oriented with the ability to prioritize workload, provide accurate and quality work, meet deadlines, manage multiple responsibilities, follow-through, and perform well under pressure.

Excellent written and verbal communication skills, research skills, expert in finding, organizing and analyzing information quickly and effectively. Full knowledge of office procedures/systems, proficiency in MS Office (including Outlook, Word, Excel, PowerPoint)

Must be proactive in seeking opportunities that will enhance the effectiveness of the department.

Consistently punctual and dependable, able to meet deadlines in a timely manner. Understands and complies with FINRA, SEC and other Company required rules and regulations.

IV. MINIMUM EDUCATION AND EXPERIENCE

  • A 2-year or 4-year degree in business, finance or related field is a plus
  • 1-3 years related work experience supporting executive-level employees; preferably in the brokerage or financial industry.

While performing all duties of this job position, the Administrative Professional must be able to work at least 40 hours per week and must be able to communicate with the public. He or she is regularly required to sit; stand, bend from the waist, write, operate the computer and all office equipment, use the phone; speak intelligibly; and hear. This job position must also be able to occasionally lift and carry up to 20 lbs.
