- Strong attention to detail and problem-solving skills.
- Familiarity with hospital administration processes and healthcare regulations.
- Professional demeanor and ability to interact effectively with all levels of staff.

The Admin Assistant will work directly under the supervision of the Administrative Director of Research to support and coordinate a wide array of research initiatives and administrative operations across BWH and MGH. The ideal candidate is a highly organized, proactive, and detail-oriented individual with experience in research coordination and administrative support. This role involves supporting faculty and research staff in managing projects and initiatives including program grants, grand rounds, reimbursements, onboarding research staff, research retreats, and other cross functional administrative and programmatic tasks.

Key Responsibilities:

  • Coordinate multi-component research initiatives
  • Track timelines, deliverables, and reporting requirements for program and project grants.
  • Assist in the preparation of biosketches, and support documents.
  • Coordinate logistics for research grand rounds, journal clubs, seminars, and other recurring academic events.
  • Help with the development of a department newsletter
  • Plan and support logistics for annual research retreats and other department, wide events.
  • Assist in the onboarding of non-professional research staff (e.g., interns, coordinators, research assistants), including scheduling orientations, facilitating access, and preparing onboarding materials.
  • Support reimbursement processing and expense tracking for faculty and research staff in accordance with institutional policies.
  • Manage calendars and scheduling for research related meetings and events.
  • Respond to inquiries and ensure timely follow-up on requests related to research operations.
