Short Description

Lead Surgical Scheduler - Women and Children's Institute

The Lead Surgical Scheduler plays a critical role within the Women and Children's Institute by providing advanced support to the Surgical Scheduling Team, Women and Children Institute Leadership, and OR Leadership.

This position acts as a central resource for all procedural scheduling across multiple service lines, ensuring coordination excellence and consistent alignment with Cooper University Health Care's Mission, Vision, and Core Values.

Key Responsibilities:

Leadership Support: Serve as an extension of leadership by mentoring scheduling staff, promoting best practices, and supporting daily workflow operations.

Scheduling Expertise: Act as the primary resource for all surgical and procedural scheduling for the Institute, ensuring appointments and surgeries are accurately scheduled in EPIC EMR (Cadence and OpTime) in accordance with provider templates and institutional protocols.

Patient Experience: Ensure quality patient interactions by demonstrating professional phone etiquette, strong communication skills, and a commitment to customer satisfaction. Provide exemplary service that reflects the compassionate care values of the Women and Children's Institute.

Operational Coordination: Work closely with internal and external stakeholders, including providers, anesthesia, cytology, and vendor partners, to coordinate and confirm all procedural logistics.

Retention & Access: Support Cooper Health System's patient retention goals by proactively scheduling follow-up procedures and ensuring patients depart with next steps clearly arranged.

Audit & Quality Control: Conduct routine audits of scheduled encounters and inbound calls to ensure accuracy, efficiency, and compliance with internal standards. Identify and resolve gaps to minimize scheduling-related denials.

Ambulatory Support: Assist in overseeing and supporting the ambulatory office managers and staff to coordinate post op appointments, and other necessary clinical support for the patients and providers within WCI.

Team Collaboration: Work collaboratively with Institute leadership, clinical providers, OR leadership, Health Care Access stakeholders to centralize, streamline, and standardize scheduling workflows across the Women and Children's Institute.

Adaptability & Initiative: Exhibit strong problem-solving skills and the ability to think critically and independently when addressing day-to-day scheduling challenges in a fast-paced, professional medical environment.


Experience Required

3-5 years required - Minimum three years of registration, scheduling, or billing experience working in a medical facility.

Preferred Experience includes:

Proficiency in patient registration, scheduling, medical insurance pre-certifications, authorizations and referrals

Epic experience preferred


Education Requirements

HIGH SCHOOL OR GED REQUIRED

Associate's degree Preferred
