Provides operational and administrative support activities to the 401(k) Client teams and designated clients in the areas of census, plan amendment signatures, 5500 authorizations, contributions, load administration, compliance testing and other facets of 401(k) plan administration. Utilizes workflow system to identify customers who have outstanding tasks necessary to maintain compliance and fulfill Sentry's service agreement. Proactively intervenes to ensure deadlines and special client needs are met, while appropriately escalating tasks to avoid or mitigate compliance issues. Completes timely and accurate analysis of census data, review status, compensation, contributions, and account balances for qualified retirement plan participants. Monitors and resolves errors or discrepancies in data across multiple systems. Prepares annual reviews for safe harbor plans. Completes IRS/DOL forms, facilitates e-filing, monitors filing deadlines, prepares filing extensions, and supports other governmental reporting processes.

What You'll Do:

As a Claims Technician - 401(k) you will:

  • Review collected plan census data for completeness and accuracy. Identifies missing data or items that require clarification and communicates directly with internal peers and/or clients to resolve. Ensures accurate data is updated in various systems using a variety of methods including data entry or uploading via spreadsheets or other processes that may require formatting and set up prior to upload.
  • Coordinate the flow of electronic census and financial files and transactions between recordkeeping and compliance testing systems; determines/verifies participant eligibility and vesting, identifies highly compensated and key employees as defined by federal regulations, and prepares preliminary nondiscrimination testing for 401k plans.
  • Complete annual reviews for safe harbor plans, including safe harbor contribution calculations and illustrations, required nondiscrimination testing, and reporting.
  • Prepare Form 5500-SF/8955-SSA forms, including accurately reporting company information, plan data, and financial reconciliation of assets. Monitors filing deadlines and prepares/files extensions, and e-files client returns with DOL/IRS.
  • Monitor workflow tasks to ensure all scheduled service deadlines and requests are addressed accurately and within prescribed timelines. Assists with collecting customer data such as 5500 signatures, missing census, billing payments, active loan defaults and amendment signatures.
  • Ensure workflow entries in Sentry systems are continuously maintained such that 401(k) management has an accurate view of the plan status and any compliance, relationship or major operational issues.
  • Coordinate the information required for terminating or cancelling plans for an efficient hand off to the Transition Services team.

Additionally, you will:

  • Research and corrects invalid customer email addresses and redirects undelivered mail.
  • Assist in responding to questions regarding incoming employer contributions. Researches and troubleshoots payroll errors.
  • Develop and maintains an understanding of Sentry's plan documents, contracts, systems and regulatory/legal requirements. Applies appropriate plan provisions to individual customer questions and service situations.
  • Assist with the review of incoming employer census. Identifies missing information, missing signatures, missing compensation data and appropriately follows up with the customer.
  • Assist with collecting data necessary to prepare plan design illustrations and with the preparation of electronic census workbooks for customers and sends to clients for their validation.
  • Assist with the gathering of 5500 audit items based on external audit requests. This includes, but is not limited to; distribution forms, loan amortization schedules, 1099 copies, forfeiture reports and contribution timing reports.
  • Assist with monitoring team email account and general client calls; distributing necessary tasks utilizing workflow systems. Monitors incoming email and voice messages for team members who are out of the office and responds as appropriate and/or escalates to more experienced team members.
  • Perform other job-related duties as assigned from time to time.

What it Takes:

  • Associate Degree or equivalent work experience.
  • Educational courses such as CEBS or ASPPA beneficial.
  • Ability to analyze contracts and documents.
  • Demonstrated proficiency in providing customer relationship management services.
  • Strong organizational skills, ability to prioritize workload and handle several projects simultaneously.
  • Ability to perform duties with a high level of accuracy.
  • Strong verbal and written communication skills.
  • Ability to perform basic research and analysis to solve discrepancies.
  • Demonstrated proficiency using office software applications, particularly MS Excel.
  • Ability to prioritize and quickly shift focus of priorities within specific time limitations.

  • The hourly rate for this position in the state of Colorado, based on qualifications and experience is between $22.13- $30.42.
