Job Description

The Department of Pediatrics at the University of Missouri School of Medicine is excited to announce an opening for a Business Operations Associate II to join our administrative team. This position will support the overall School of Medicine mission to save and improve lives - through exemplary education, research, and patient care by assisting and supporting the Department of Pediatrics leadership.

Position Overview
Provides high-level administrative assistance and office support to the Chair of the Department of Pediatrics and the Department Director. Independently coordinates schedules, prepares correspondence, and works to bring department business initiatives together collaboratively and cohesively.

This position is for a qualified candidate who has extensive experience with finance and business operations. Qualified candidates should have experience in an academic environment and have excellent written and verbal communication skills. Primary Duties & Responsibilities
* Anticipates and prepares materials needed by the Chair, Vice-Chair, Director & Manager of Operations for conferences, meetings, appointments, and telephone calls and/or e-mails.
* Assists with administrative details of confidential situations.
* Administers/prepares data reports, minutes, correspondence as needed. May assist in preparing budgets related to events including space considerations, past requirements, and expenditures.
* Collaborates with department finance to verify expenditures and to ensure compliance with University policies and procedures.
* Coordinates other special projects as assigned, including high-level clinical and administrative projects assigned.
* Coordinates schedule availability to optimize accessibility and productivity of the Chair & Vice Chair for Divisional, Departmental, Medical School, Hospital, and national responsibilities.
* Prepares special reports, summaries, or replies to inquiries. Designs slides, figures, and tables for presentations at meetings and for publications using PowerPoint, Visio, or other required software.
* Uses web-based video technology to prepare presentations, independently preparing professional materials capable of going from design to distribution with minimal oversight.
* Independently drafts correspondence as directed by the Chair, Vice-Chair, and Director. Makes decisions about presentation materials and the most effective methods for developing, distributing, and maintaining documents.
* Assists new faculty in all aspects of orientation and relocation in coordination with the finance and credentialing teams.

* Coordinates all levels of administration inclusive of business with leadership and other departments as well as community-based partners.
* Prepares all related materials, and anticipates the needs of the Chair, Vice-Chair, and Director in advance to ensure the highest quality clinical and educational services for our patients and trainees while also optimizing faculty resources.
* Coordinates and manages the annual faculty evaluations with the chairman including gathering of individual faculty metrics, evaluations and MBM data. Ensures all evaluations are completed and submitted by Dean's office deadlines.

Shift

Monday - Friday
8:00 a.m. - 5:00 p.m.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Three or more years in a business or a health-related field. Extensive experience in Executive Administrative duties in lieu of degree is acceptable.

Anticipated Hiring Range

Salary Range: $21.71 - $40.09 hourly
Grade: GGS - 009
