What This Job Involves: This position focuses on coordinating comprehensive maintenance schedules across multiple facilities within the Devens campus, ensuring preventative and reactive maintenance tasks are properly prioritized and assigned. You'll develop and maintain effective scheduling systems, balance resource allocation, and regularly evaluate schedule performance to optimize maintenance operations.

What Your Day-to-Day Will Look Like

  • Interface directly with clients and their staff including planning teams, technicians, and administrative personnel across various organizational levels
  • Navigate political environments professionally while maintaining strong client relationships
  • Mine and analyze maintenance data from multiple systems to drive decisions
  • Process incoming phone calls and work orders through three different CMMS systems
  • Schedule and coordinate preventive maintenance activities with vendors and internal teams
  • Maintain updated vendor contact lists and manage proper safety/access permitting
  • Provide logistical coordination between stakeholders (stock support, customers, security, engineering)
  • Generate and distribute work orders when scheduled, then track completion
  • Develop and maintain a monthly PM schedule look-ahead, updated weekly
  • Present performance data and metrics to maintenance teams regularly
  • Support GxP documentation audit requests
  • Estimate work order completion times and compare to actual performance

Work Schedule

Monday through Friday, 8:00 AM - 4:30 PM

Required Skills and Experience

  • 3+ years of experience in maintenance scheduling or related role
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong customer service personality with excellent communication skills
  • Ability to read and interpret work from drawings, written orders, and technical documents
  • Experience working with CMMS systems

Desired or Preferred Experience and Technical Skills

  • Associate degree or combined technical training/direct experience
  • 5-10 years of relevant experience in multi-trade environments
  • Experience with pharmaceutical/biotech manufacturing or research facilities
  • Strong sales-oriented communication style when working with high-level administrators
  • Experience presenting performance metrics to diverse audiences
  • Detailed understanding of maintenance scheduling, estimating, and workflow processes
  • Experience tracking and reporting on Service Level Agreements (SLAs)
  • Proficiency in Microsoft Project and Access
  • Experience working across multiple CMMS platforms

Estimated total compensation for this position:

68,000.00 - 85,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
