This position is funded for 12 months; continuation past 12 months will be based on university need, performance, and/or availability of funding. This is a/an 94 % full-time equivalency (FTE) job. This position will work 37 hours per week. This position is eligible for benefits associated with any full-time position. The salary grade and range listed in the posting is reflective of a 100% Full-time position. Full-time equivalency job offers may fall outside of the listed range due to the assigned percentage of effort.

POSITION SPECIFICS

Penn State Extension, Bradford County, is seeking to hire a full-time Administrative Assistant (Intermediate Support).

The position manages the Bradford Extension office to ensure streamlined and productive daily operations including administrative support, customer service, initiatingfinancialtransactions, and supporting the Business Operations Manager. The position serves as the primary point of contact for program and administrative team members across four counties, as related to clerical support, individual travel and professional development funds and expenditures, office space and supplies, and gift and financial reporting.

This position will work at a reduced FTE of 37.5 hours per week through the year.

Responsibilities: Duties of this position include the following:

  • Provide support to the Business Operations Manager and program staff across Bradford, Sullivan, Susquehanna, and Tioga counties by monitoring personnel and operating expenses, reviewing All-in-One forms, initiating reconciliations and transactions, requesting county government payments, generating reports in QuickBooks and SIMBA, initiating payments, and receipting/depositing payments from customers, counties, and program fees. Responsibilities include data entry, maintaining/uploading backup documentation, and tracking submissions for accurate reconciliation. Monitor SIMBA accounts, process payables, receivables, reimbursements, and deposits to ensure budget compliance and account accuracy. Collaborate with Extension and College finance staff and county colleagues to ensure efficient processing and participate in trainings.
  • Maintain files, report office concerns, suggest improvements, create a welcoming environment, resolve equipment/computer issues, and manage inventory of supplies, brochures, and equipment.
  • Greet external customers, respond to general and program inquiries, assist with programming questions, sell soil and water testing kits, support volunteer needs, and provide internal customer service for purchasing and budget monitoring across Area 3 counties.
  • Work as a team member to support programming, events, correspondence, and clerical needs; attend update meetings and share best practices for financial transactions and University resources.

Skills and Experience:

  • Proficiency in Microsoft Teams, Excel, Word, Outlook, PowerPoint, Publisher,
  • Requires excellent grammar and proofreading skills, interpersonal skills, and organizational skills, being attentive to details, having the ability to manage multiplepriorities/deadlines,and the ability to exercise discretion with confidential information.
  • Experience in SIMBA (or any financial system), and Salesforce client management software is preferred.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

Employment with the University will require successful completion of background check(s) in accordance with University policies. This position requires that you operate a motor vehicle as a part of your job duties. A valid driver's license and successful completion of a motor vehicle records check will be required in addition to standard background checks. SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
