Job Summary

Serves as liaison with Benefits Providers; addresses any issues associated with Benefits. Provides benefits enrollment service to employees. Conducts benefits audits and processes reconciliations.

  • Processing Bi-weekly payroll closing, reconciles and audits benefits deduction registers, People Soft records, People First files, Perceptive Content data and takes necessary actions, i.e. processes enrollments, refunds, double deductions, check requests and employer matching.
  • Provides and assists employees with matter related to the insurance plans, other benefits programs including new enrollment, Qualifying Status Events and processes all necessary transactions online and/or paperwork associated with enrollment into these programs and Payroll System.
  • Serves as liaison with internal and external Benefits Providers. Researches data discrepancies and addresses any other issues associated with employees' concerns in order to obtain a resolution. Participates in the State University System (SUS) conference calls with People First and provides updates on changes to the Benefits Team. Responsible for researching Under/Over reports to ensure that employee's benefits premiums are reflecting accurately in the People First system, and avoid lapses in benefits coverage. Follows up initiative and people skills are essential to this function.
  • Facilitates the New Employee Experience Benefits presentation on a bi-weekly basis. Processing benefits files for payroll and the electronic transmission of vendor payments, file uploads, merging data files, corresponding with various insurance vendors, etc.
  • Assists annual Benefits Fair and Open Enrollment.
  • Reviews People First discrepancy and error reports generated by automated benefits enrollment processes on a daily basis. Works closely with the payroll and Records team to ensure that any errors generated during pre-payroll processing are addressed in a timely manner.
  • Assisting in ensuring weekly transmittal of all insurance data and contributions to and from vendors and successful file load. Assisting in ensuring weekly transmittal of all insurance data to and from vendors and successful file load; processing all financial transactions related to Benefits such as vendor payments, deposits, reconciliation of accounts, financial reports, underpayments reports, refunds and related transactions. Creates spreadsheets for Controller's to process insurance premiums and insurance matching. Acts as liaison with Controller's regarding the above.
  • Acts as liaison with Payroll Department, Controller's Office, DSGI, DOR, BENCOR and Benefits providers regarding any issues and concerns.
  • Assists in developing audit mechanisms and daily queries to review, research and correct inconsistencies between PeopleSoft and reported information, and to otherwise ensure the overall accuracy of PeopleSoft benefits related data. (Examples: various queries that impact payroll processing, benefit eligibility, and compliance.) Analyzes system errors and data error trends to develop solutions. Creates queries, reports, and procedures to support analysis and decision making by HR on benefit programs, policies, and employees.
  • Prepares monthly metrics and participates in benchmarking survey
  • Responsible for processing biweekly payments to the following Benefits providers: Division of State Group Insurance (all pretax insurance premium payments), Division of Retirement (reporting of salaries and ORP and FRS retirement contributions) and Deferred Compensation (457 Plan). Checks accuracy of reports and instructs Controller's Office to make wire transfers as required. Makes necessary payments by telephone through the Department of Revenue. Loads biweekly files into vendor's websites. Communicates via e-mail and fax to vendors amount of payments for employees deductions. These functions are time-sensitive and involve movement of substantial dollar amounts. Liaisons directly with Controller's Office on all of the above. Consolidates all biweekly input into a master template to reflect all changes for each particular payperiod. Maintains accurate records of all these transactions.
  • Assist HR manager to processes all financial transactions related to Benefits such as deposits, reconciliation of accounts, financial reports, underpayments reports, refunds and related transactions. Creates spreadsheets for Controller's to process insurance premiums and insurance matching. Acts as liaison with Controller's regarding the above.
  • Reconciles Benefits premiums and contribution credits, debits and invoices received from the Benefits Providers. Prepares financial reports containing all premiums and contribution adjustments.
Minimum Qualifications

  • Bachelor's degree in a related field and two (2) years of professional benefits related experience, or a Master's degree and one (1) year of benefits related experience.
