Perioperative Staffing Coordinator BWH

This position provides staffing support across the Perioperative Nursing Department, utilizing the UKG system proficiently and independently. The staffing coordinator reports to the Perioperative Project Manager and provides support the Perioperative Nurse Directors.

Principal Duties and Responsibilities:
  • Reviews staffing on a daily basis (shift by shift); identifies unit needs and responds to unplanned absences with staffing solutions that prioritize patient care and unit efficiency.
  • Under the direction of the Perioperative Project Manager, Perioperative Operations Managers, Perioperative Directors, and/or the Associate Chief Nurses, coordinates the deployment of float pool, per diem, and agency staff as needed.
  • Collaborates with Nurse Directors to proactively plan for future staffing needs; adjusts coverage based on volume, unit acuity, and clinical priorities.
  • Supports preparation of 4-week time schedules in accordance with approved staffing models, hospital policies, and the MNA contract.
  • Independently maintains and updates the UKG system daily with accurate staffing data for Periprocedural staff and other assigned units; ensures integrity of real-time and retrospective entries.
  • Prepares and processes weekly payroll; investigates discrepancies and provides timely resolution to ensure accurate and compliant timekeeping.
  • Performs detailed data collection and prepares reports in a format appropriate for operational analysis and leadership decision-making.
  • Completes special projects as assigned, often requiring critical thinking and collaboration across departments.
  • Maintains timely and professional communication with staff, managers, and directors; demonstrates sound judgment in resolving staffing conflicts and responding to evolving needs.
Qualifications:
  • Associate's degree or equivalent required; bachelor's degree preferred.
  • Experience in a fast-paced, highly dynamic environment required.
  • Prior experience with Kronos or other staffing/timekeeping systems strongly preferred.
  • Healthcare or unionized staffing experience preferred.
  • Demonstrated commitment to customer service and teamwork.
Skills and Abilities:
  • Exceptionalattention to detail, with a proven ability to maintain accuracy in complex systems and documentation.
  • Strongcritical thinkingandproblem-solvingskills; able to analyze staffing gaps and operational needs to recommend appropriate solutions.
  • Ability to manage and prioritizecomplex processesinvolving multiple stakeholders and shifting priorities.
  • Organized and methodical; able to manage multiple tasks simultaneously and meet strict deadlines.
  • Effective verbal and written communication skills, both in-person and via phone/email.
  • Proficient in Microsoft Office Suite (especially Excel); able to quickly learn new systems and platforms.
  • Flexible and responsive to change, with a proactive approach to problem-solving and process improvement.
Working Conditions:
  • Work is primarily in an office setting with no significant discomfort due to noise or temperature.
  • Frequent interaction with clinical leadership and staff in a busy and demanding environment; must be able to manage multiple simultaneous requests calmly and professionally.
